Position: FM Coordinator Contract: Permanent/Full Time Salary: £30,000 per annum Location: Basildon, Essex Hours: Monday to Friday, 8:00 am – 5:00 pm Are you an organised and proactive Facilities Management (FM) Coordinator looking for a new challenge? This is an excellent opportunity to join a dynamic facilities team, ensuring the smooth operation of building services in a professional environment. Role Overview: As an FM Coordinator, you will be responsible for managing service delivery, coordinating subcontractors, overseeing planned maintenance, and ensuring compliance with health and safety regulations. You will also play a key role in tenant support, financial management, and service improvement within the building. Key Responsibilities: Ensure services are delivered in line with annual service charges and monitor building audits. Arrange and supervise subcontractor callouts and planned maintenance across remote sites. Provide accurate meter readings for tenant billing. Monitor and optimise the BMS system for efficiency. Work with the security team to manage parking arrangements for staff and visitors. Assist IT and HR teams with new starter setups and day-one health and safety inductions. Provide First Aid cover for the site. Collaborate with maintenance, cleaning, and helpdesk teams to address issues proactively. Support budget management and financial performance of the contract. Ensure compliance with service level agreements (SLAs) and key performance targets. Administration & Compliance: Conduct daily floor checks to ensure workspaces are ready. Maintain statutory, legal, and best practice compliance across services. Keep E-log books above 95% compliance. Report health and safety observations and update action trackers. Arrange, attend, and minute subcontractor meetings. Manage supplier quotes and approvals within internal systems. Administer access control software and BMS system changes. Communication & Teamwork: Act as the main point of contact for communication between teams and the client. Respond effectively to inquiries and complaints. Clearly and concisely present information to internal teams and large groups when needed. Person Specification: Strong knowledge of building services and facilities management processes. Self-motivated with the ability to work independently and as part of a team. Excellent organisational and time-management skills. Customer-focused with a proactive approach to service improvement.
