Liaise with clients and suppliers to identify their requirements whilst managing the support services to meet those requirements. Ensure all paperwork and clearances have been completed and filed to enable smooth operational delivery of events.As an Administrator in the Commercial Hire department, you will be responsible for effectively managing the organisation, paperwork, and operations to support the delivery of commercial events and filming. You will ensure both internal and external users receive a consistently high level of service. You will liaise with clients and suppliers to identify their requirements while managing the support services to meet those needs. Additionally, you will ensure that all paperwork and clearances are completed and filed to enable the smooth operational delivery of events.Key areas of responsibility:Manage, plan and organise the event operation throughout the Museum event spaces dealing with a wide range of stakeholders and suppliers.Operate to British Museum standards and procedures in accordance with the client’s specific requirements.Involvement with operations processes, such as Event and Security Briefs, Risk Assessments, PTW’s, scheduling and booking Contractor’s Desk Vehicle gate deliveries by suppliers and clientsManage operations when needed as main contact for stakeholders while Event delivery team is on the groundLiaise with IS, AV, PFM and Security departments on a regular basis to ensure smooth delivery of events and create pro-active solutions to building works and service issues that may affect delivery of events and filming.About you:A-Level or equivalentO-Level / GCSE & equivalent Maths & EnglishExperience of coordinating conferences or events, with the ability to coordinate associated support services. Experience of dealing with health and safety issuesComputer LiterateSome project management experienceExcellent client/customer managementThe ability to manage a number of tasks or events at the same time.Ability to liaise with a range of different people including external clients and suppliers whilst also dealing with the needs of internal contacts of all levelsAbility to work independently and in a teamClear communicatorYou will have A-Level or equivalent qualifications, including O-Level/GCSE Maths and English. You possess experience in coordinating conferences or events and managing the associated support services. You are knowledgeable about health and safety issues and are computer literate. You have some project management experience and excel in client/customer management. You can manage multiple tasks or events simultaneously is outstanding. You effectively liaise with a diverse range of people, including external clients and suppliers, while also addressing the needs of internal contacts at all levels.
