Job Title: Patient Coordinator – Medical Aesthetic Practice
Location: Doncaster
Job Type: Full-Time, or Job Share Available (x2 Part time positions).
Salary: £12.50 per hour to £14.50 per hour (depending on experience and skill set)

Job Description:
We are seeking a proactive and organised Patient Coordinator (Reception) to manage the front-of-house operations at our busy aesthetic clinic. As the first point of contact for our patients, you will play a vital role in ensuring that every patient feels welcomed, valued, and informed about our services. Customer satisfaction is at the forefront of Mediface; it is important that as front of house you are approachable, friendly and professional at all times.
The ideal candidate will have experience in a customer facing role. Experience within the aesthetics, beauty / health and well-being industry is preferred but is not essential to the right candidate. You must be motivated, a quick learner with a genuine passion for this industry. This role is both customer-facing and operational, requiring someone who is comfortable coordinating patients and assisting practitioners within the patient’s journey.
Duties:
1. Greet patients warmly upon arrival and assist them with the check-in process.
2. Schedule appointments and efficiently manage the calendar for our practitioners.
3. Provide patient education and information regarding our services.
4. Maintain accurate patient records and ensure all information is up-to-date and confidential.
5. Answer phone calls and respond to patient inquiries in a timely manner.
6. Coordinate with medical staff to facilitate smooth patient flow within the practice.
7. Assist in the preparation of patient documentation and forms as needed.
8. Handle administrative tasks such as filing, data entry, and office organisation.
9. Act as the point of contact for patients pre and post treatment.
10. Ensure compliance with clinic policies.
Overall, a patient coordinator is key in creating a positive, efficient, and caring experience for our patients, ensuring they feel supported before, during, and after their aesthetic treatments.
A successful candidate must have:
1. An approachable, welcoming, friendly personality.
2. Strong organisational skills with the ability to multitask effectively.
3. Excellent verbal and written communication skills.
4. Proficient in IT skills to ensure the usage of office software and electronic health record systems.
5. A compassionate attitude towards patients and a commitment to providing exceptional service.
6. Ability to work well under pressure in a fast-paced environment.
