Job Description:
The Executive Assistant will be essential in supporting the C-suite to achieve and contribute to business objectives. This position demands a proactive and organised individual capable of effectively managing schedules, performing administrative tasks, and facilitating interdepartmental communication.
Your ability to multitask, prioritise and maintain confidentiality will be essential to your success in this role.
Key responsibilities include:
* Calendar Management: Efficiently oversee the C-suite's schedule, including organising and coordinating appointments.
* Meeting Coordination: Organise and facilitate meetings, ensuring accurate minute-taking and comprehensive documentation.
* Action Follow-ups: Document key takeaways from meetings and track progress on action items, coordinating with the relevant stakeholders to ensure completion.
* Project Assistance: Aid in the organisation of meetings and projects, providing proactive support to meet objectives and targets.
* Report Building: Assist the CEO and Senior Leadership Team (SLT) in compiling reports and distributing them to relevant teams.
* Department Liaison: Work with various department heads to prepare for meetings and gather necessary information.
* Administrative Support: Perform various administrative tasks vital for the office's smooth operation, including tracking and cross-referencing Purchase Orders (POs).
* Project Monitoring: Keep an eye on project timelines and deadlines, ensuring that daily, weekly, and monthly tasks are completed punctually.
* System Administration: Support system administration efforts to ensure data accuracy, user proficiency, and learning across various internal platforms.
* Travel Arrangements: Manage all travel logistics for the C-suite, ensuring smooth and efficient planning.
* Event Organisation: Plan and coordinate social events by collaborating with relevant stakeholders across the office.
* Personal Assistance: Provide assistance to the C-suite with personal tasks as needed.
* Ad-Hoc Responsibilities: Remain open to taking on additional tasks and projects as required by the business needs, demonstrating flexibility and adaptability to support the C-suite and ensure the efficient operation of the office.
Skills and expectations:
* Proven experience as an Executive Assistant or in similar administrative roles.
* Highly dependable with a strong work ethic.
* Advanced proficiency in Microsoft Office, particularly Excel and PowerPoint.
* Displays a positive attitude towards work.
* Excellent planning and organizational skills able to prioritise effectively.
* Capable of multitasking with strong organisational abilities.
* Exceptional written and verbal communication skills.
