Title: Events Manager, Multisite (maternity cover)
Salary range: £25 29k per annum.
Contract: fixed term 12 months
Department: Working within the Operations Department.
Venues: Essex and Bedfordshire.
Reporting directly to: General Manager or Deputy Venue Operations Manager.
Direct line management responsibility: N/A.
Description: The Events Manager is a highly organised and creative individual that is responsible for planning and coordinating all aspects of weddings and events, from initial consultation to the final event delivery. A skilled hospitality professional who oversees a wide range of tasks, including client consultations, vendor management, budget creation, event design, logistical coordination, and on-the-day management of the food and drink service. A successful Events Manager possesses excellent organisational and communication skills, providing guidance and support to clients from the point that they book through to wishing them a fond farewell as they leave after their event. The Events Manager has a keen eye for detail, and a passion for creating memorable experiences that are meticulously planned and flawlessly executed.
This role will primarily be based at our venue near St.Neots on the Cambridgeshire / Bedfordshire border with approximately 1 day per week at our venue near Epping in Essex.
Key responsibilities (this list is broadly illustrative of the scope of responsibilities but is not exhaustive):
Event planning:
Client consultations to discuss their vision, budget, and preferences
Upselling, encouraging clients to upscale their initial plans and to purchase additional food and drink offers
Menu and drinks package development including the creation of customised menus based on dietary restrictions, cultural preferences, and the overall theme.
Develop comprehensive event timelines
Accurately record event details
Draft client and internal planning documents
Floor plans, and seating arrangements
Collate and record relevant details and licenses for all supplier contractors, including florists, photographers, musicians, and transportation providers
Social media posting inspiring, interesting and relevant content
Finance and budgets:
Create and manage detailed budgets for each event
Identify the correct food and drink costings for each event
Submit invoice requests on time
Ensure all client payments are received according to the payment schedule
Manage resources cost efficiently, staff, linen perishables etc
On the day event coordination:
Oversee all aspects of the wedding day, ensuring everything runs smoothly from set-up to breakdown
Adhere to the agreed time-plan
Design and Décor, lay out clients personal and decorative items as instructed
Supplier/Contractor Management ensure they comply with rules and regulations
Staff briefings to outline the service plan and salient details
Direct and lead the service team throughout the event
Guest management, welcome guests, address any concerns, deliver key announcements, and ensure a smooth experience
Emergency preparedness, have a plan in place for unexpected situations, such as inclement weather or accidents
Accommodation check-ins, departures and reception requirements
Post-event follow-up to thank clients, vendors, and staff
Handle any feedback, and identify areas for improvement
Support:
Work as part of the service waiting team
Conduct showrounds of the venue with prospective clients
Marketing and sales events
Assist with training of service staff
Assist with general venue administration
Help the bar team with the delivery of drinks service
Managing service staff rota planning & payroll details
