Contract type: Fixed term, expected duration 6 months Role Description To maximise ticket sales and revenue to industry guest ticketing clients and personal referrals by providing effective ticketing information and advice and proactively managing inventory, financial reporting, and sales support. This position involves a high level of responsibility involving Festival and Venue based events. You will be working on events such as Reading, Leeds, Latitude, Wireless Festivals and various other high profile day festivals and events over the summer. Who you are You may have previous experience as: Ticketing Assistant, Box Office Staff, Record Label Assistant, Office Administration Competencies / Skills / Knowledge / Experience Experience with at least one Ticketing system. Excellent numeracy skills with exceptional attention to detail and proficiency in using Excel at intermediate level or above Adept in using online platforms. Previous experience of using reporting tools and programs to write and manage reports would be an advantage. Accurate record keeping and financial reporting required Role entails dealing with promoters, record companies, agents, VIPs, media personalities, and others so interpersonal and customer relation skills must be excellent as must discretion and professionalism Excellent literacy skills with a proven ability to communicate, both verbally and in writing, with colleagues up to Executive board-level Deadline focused with the ability to plan and organise own workload in an incredibly fast paced environment Excellent attention to detail with strong focus on reporting accuracy A full clean and valid driving licence is required for this role To abide by and contribute to the Festival Republic’s Equal Opportunities policy Behaviours The following attributes determine how the role will be carried out and are required to be a success A proactive attitude who demonstrates initiative, drive and commitment to achieve objectives Exceptional team-player mentality Self-motivated and takes ownership for personal and technical development What the role includes Utilise a self-service, company-provided ticketing platform to build Industry Ticketing Events to mirror the guest / GA ticket types available for each individual show. Update and e-mail out Industry Ticket Order forms to record companies and past purchasers from existing distribution lists Seek approval for unsolicited requests with the relevant events ticketing manager Answer all questions promptly and amend all orders as required, subject to availability Log all ticket orders on the relevant guest sales log sheets Raise invoices for orders to be paid by BACS and update the invoice spreadsheet accordingly - chase payments after 14 days if not received. Continue to chase until payment confirmed by finance team. Raise POs if required by purchasing company. Ensure all payments have been received before valid tickets/barcodes are made available to purchasers Distribute tickets along with guest arrival information specific to each festival Liaise closely with the Guest Ticketing Department to ensure all paid and comp tickets can be dispatched together Be available during the show if needed to process on site orders and payments Raise VAT receipts post-event for all orders which request them Provide a reconciliation to the finance team of all tickets sold to Industry and Personal customers which is cross-referenced and matches with ticket system reports for each event Ensure the e-mail distribution lists are left up to date with correct contact details ready for the following year Should all the pending Industry Ticket order tasks be completed for each show, during quieter periods you may be asked to assist with other tasks within the Ticketing department, but the Industry Ticket orders must always take priority Assist on-site at events for which you are not required to provide Industry Guest Ticketing services and provide support to / follow the direction of the Event Ticketing Lead Other reasonable duties as directed by management Equal Opportunities We are passionate and committed to our people and go beyond the rhetoric of diversity and inclusion.
