Job description
We have a current opportunity for a Administrator on a temporary basis for 3 months initially. The position will be based in Leith, Edinburgh and the role is fully office based. The working hours are Mon-Fri (35 hour week).
Responsibilities:
1. Communicate (phone & emails) with clients/customers about work bookings and update scheduler
2. Communicate with engineers about work booking and update scheduler
3. Plan staff time and sub-contractors as required.
4. Advise tenants of surveys & works as required.
5. Invoice works in timely manner - enter SOR & Variations through QL & send any reports required.
6. Collate information for Invoice & approval by the relevant manager, raise invoices for clients, complaint resolution if they arise
7. Check and update work monitors as per daily tasks
8. Ensure engineers times are fully booked and assist engineers with works queries. Chase engineers for paperwork - certificates etc.
9. Raise purchase orders for sub-contractors
10. Standby Rota participation
11. Provide cover for the Contracts dept. phones as required
Skills required:
12. Computer Packages including but not limited to Office, Excel, Word, and Outlook
13. Excellent interpersonal skills and excellent communicator
14. Passionate about delivery of excellent customer service and follows principle of getting it right first time.
