The role
We are seeking a dynamic and strategic Senior Bid Management Lead to be responsible for managing the entire bid process, compiling pricing and proposal documents for both the UK New Business and Client Engagement Teams. This role is crucial in the creation and management of customer proposals, from initial templates to final submissions, and involves close collaboration with various teams within the business. The ideal candidate will be responsible for producing high-quality bids for RFPs, RFIs, and RFQs, as well as supporting proposals for existing customers. This position also requires maintaining and updating our internal repositories, ensuring that all bid-related documents reflect the latest data, and working closely with third-party suppliers, marketing teams, and key stakeholders to compile best in class winning proposals documents and maintain content.
Key Responsibilities
Collaboration with Stakeholders
* Collaborating closely with the Client Engagement team and other internal stakeholders to ensure that the response is in line with the bid strategy and in compliance with Ekco policies, as well as providing a compelling and accurate response.
* Lead, mentor and develop new team members with regards to Bid Management process and strategies.
* Build strong relationships with key strategic stakeholders across the business; Client Engagement team, marketing, Technical pre-sales, projects, service delivery, legal and finance to ensure alignment with proposal.
* Responsible for coordinating efforts between the different departments and ensuring that all stakeholders are kept informed of progress and any changes to the bid process.
* Update existing frameworks, review new ones, and integrate tender template quoting documents into them, ensuring all frameworks are up to date.
* Manage relationships with third-party suppliers and vendors, ensuring that all interactions support our bid and proposal needs.
Document Management
* To build and maintain a Bid Library and implement version controls procedures and processes, to ensure current material is always available and used.
* Manage in-house tender trackers, updating proposal templates, and ensuring that all proposal documentation is accurate and up-to-date.
* Producing and contributing to completion of complex RFIs, PTQ, Expressions of Interest outlining responses to strategic questions.
* Proof reading and editing Executive Summaries, proposals, presentations and Scope of Work to ensure that all material submitted to clients is formatted and branded in line with company marketing strategy.
* Oversee and co-ordinate the bid process; ensuring that all proposals follow the appropriate Governance and approval procedures, whilst managing designated timeframe set.
* Responsible for ensuring pricing calculators, rate cards latest versions are updated and used to compile pricing and proposal documents, supporting the UK Client Engagement Team.
Drive Measurable Results through detailed Execution
* Responsible for compiling winning proposal submissions and assist in increasing revenue for the UK Sales team.
* Define key metrics to assess the effectiveness of training and enablement initiatives.
* Methodically implement sales strategies that deliver clear and visible results, ensuring distributors and teams meet and exceed KPI/SLAs.
* Continuously refine programs based on feedback, usage data, and client outcomes.
* Report on ROI and the impact of training efforts on client satisfaction, retention, and success.
Key Skills and Competencies:
* Attention to Detail: Ability to create accurate, comprehensive, and error-free proposals.
* Project Management: Strong organizational skills to manage multiple bids and proposals simultaneously, ensuring all deadlines are met.
* Communication: Excellent written and verbal communication skills, with the ability to clearly convey technical information.
* Collaboration: Experience working in cross-functional teams and coordinating with various departments, including technical pre-sales and marketing.
* Analytical Thinking: Ability to evaluate complex RFPs, RFIs, and RFQs, identifying key requirements and ensuring proposals meet these needs.
* Tool and CRM Proficiency: Familiarity with CRM systems and the ability to maintain accurate bid-related information.
* Repository Management: Experience managing and updating internal documentation systems.
* Continuous Improvement: A proactive approach to identifying process inefficiencies and contributing to their resolution.
Key Requirements
* Experience: 7+ years of experience in bid writing, proposal management, or a similar role, preferably within the software or technology sector.
* Education: Bachelor’s degree in Business, Communications, Marketing, or a related field is preferred. APMP qualification is desirable.
* Technical Understanding: Good understanding of software solutions and technical pre-sales processes.
* Software Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), CRM systems, and bid management tools.
* Leadership: Ability to mentor and motivate team members, in addition to educating stakeholders on Bid Management processes.
