Personal Assistant to Director (Temporary Position)
Location: Hybrid, working onsite at the Civic Centre and occasionally at Council and Children's Services Localities Office's in Walsall. The successful candidate will also have working from home days within the week.
Salary: £13.69 per hour
Working Hours: Monday - Friday: 18.5 hours per week. 2 days 8.45am - 5.15pm and half a day 8.45am - 12.30pm.
Meetings taking place at 5.15pm will happen on very rare occasions, but this may be requested due to business needs.
Opus People Solutions are currently recruiting on behalf of Walsall Council for the position of Personal Assistant to Director. This is a temporary role that involves working within a small team of PAs to provide comprehensive support to a nominated Director and broader assistance to other Directors and the Directorate Management Team.
Responsibilities:
1. Attend Directorate Management Meetings, internal and external strategic and operational boards aligned with the assigned directorate.
2. Monitor multiple inboxes, review and respond to emails, and flag urgent matters to ensure deadlines are met.
3. Forward correspondence to the relevant service area and follow up when necessary, on behalf of the Director.
4. Manage an effective logging, monitoring, and tracking system to meet deadlines for correspondence, tasks, and preparation for upcoming meetings.
5. Document production, including reports, letters, presentations, minutes, and similar, with access to confidential and sensitive information.
6. Undertake specific project work, including sensitive high-profile topics, either as task and finish or ongoing projects.
7. Regularly liaise with Heads of Services to keep projects and cases on track.
8. Track and chase responses from delegated tasks to ensure all matters are dealt with efficiently and effectively.
Essential Requirements:
1. Previous experience as a Personal Assistant or in similar roles.
2. Standard DBS (If not currently held, the organization can process one).
3. Experience working in an administration environment, preferably within a public sector setting.
4. Understanding of key legislative and regulatory requirements associated with financial regulations applicable to local authorities, Children Services, Adult Social Care, Economy, Environment, and Communities.
5. Experience providing administration support to senior managers, preferably at Assistant Director level or above.
6. Experience successfully developing and using process monitoring/bring forward systems.
7. Experience with IT software, particularly Microsoft package covering Word, Excel, PowerPoint, and Outlook.
