The Prince of Wales Surgery has an exciting new opportunity for an experienced and enthusiastic candidate to join our Patient Services Team. The post is based in Poundbury, Dorchester with some cover in our sister practice in Portesham just off the coast road, convenient for staff based in the Weymouth, Dorchester or Bridport areas. The role could be a job share between two staff so hours and days can be negotiated but the ability to work Mondays and Fridays is essential. Up to 20 hours per week with the possibility of additional holiday and sickness cover. Standard opening hours are 8am to 6.30pm (Tuesdays to 7.30am to 7.30pm).
This is a varied and fascinating position with the potential to develop further. It would suit someone with confident IT, communication and people-skills, a proven problem-solving ability and plenty of patience and empathy. Full training will be given over an extended period until the post-holder is confident in the role.

Job responsibilities
GENERAL ADMINISTRATION
* Pulling/filing notes for surgeries and updating as necessary
* Processing and distributing incoming and outgoing mail
* Filing and retrieving paperwork/correspondence, including filing to patient records
* Computer data entry, processing and recording information in accordance with practice procedures
* Providing clerical assistance to practice staff as required, including word/data processing, filing, photocopying, and scanning
* Cover sickness/annual leave and work reasonable overtime when required.
PATIENT SERVICES
* Receiving patients, consulting with members of practice team
* Handing completed repeat prescriptions to patient and checking names and address.
* Be able to cover all reception position as necessary
* Taking messages and passing on information
* Processing personal and telephone requests for appointments, telephone consultations and ensuring callers are directed to the appropriate healthcare professional
* Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
APPOINTMENT SYSTEM MANAGEMENT
* Book/edit/cancel appointments and recalls ensuring sufficient information is recorded to retrieve medical record.
* Monitor effectiveness of the system and report any problems or variations required.
Deal with home visit requests.
Arrange transport to hospital appointments for housebound patients.
MEDICAL RECORDS MANAGEMENT
* Retrieve and refile records as required, following records management processes.
* Ensure correspondence, reports, results, etc., are filed in correct record.
Processing repeat prescriptions in accordance with practice guidelines.
CONSULTATION ROOM PREPARATIONS
* Consulting rooms are unlocked in readiness for each consulting session.
Rooms are checked at the end of each consulting session and left tidy and secure.
