People Services Administrator & Facilities Co-ordinator

About the role:
To provide high quality, consistent and compliant advice, support and resolution to all tier one customer requests for assistance to People Services.
Ensuring that all responses delivered are within agreed parameters in order to maximise customer efficiency, effectiveness, and confidence. Administer a diverse range of operational HR Administration related tasks across all People Service functions. Co-ordination of facilities management of People Services Eden Building.
Role Accountabilities
1. Carry out all HR lifecycle administration transactions accurately and promptly following standard operating procedures documented. Escalate any process issues identified to the relevant tier 2 team.
2. When necessary, liaise with colleagues in other areas of People Services, Centre of Expertise or HR Business Units to resolve issues and provide service as appropriate, attempting to resolve matters first time, as opposed to simply handing-off. Ensure the correct escalation of queries to subject matter experts in these areas.
3. Provide proactive assistance and support to colleagues to ensure that requests are effectively managed, that workload is fairly shared and that bottlenecks within the team are avoided.
4. Responsibility for tier 1 transactions including but not limited to: Monies owed process, Reference requests, Exit Interview analysis, NI checks, LSA, Bereavement leave, Personal detail changes, Extended leave, Eye care voucher administration.
5. Processing of insurance claims by sourcing and collating the relevant information and returning to the originator.
6. Facilities management for the Eden building including but not limited to: Managing and maintaining of office furniture including repair & replacements, Liaising with site services team in relation to structural issues including inspections and quotations, Point of contact for external contractors.
7. Inputting of disciplinary/grievance outcomes to employee records in MyHR.
8. Supporting the People Services function in ensuring that all people related information is kept up to date and filed in relevant electronic and paper filing systems through timely and accurate data entry and filing.
9. Be an active member of the team developing People Services by feeding back and contributing to the improvement of the efficiency and effectiveness of the service, including making recommendations for new ideas and ways of working.
10. Maintain a working knowledge of HR policies and procedures.
11. Encourage self-service, wherever possible, and sign-post customers to policies, procedures and supporting resources including Line Manager toolkits, Process Maps and Behavioural Guides. Be a subject matter expert on the HR Sharepoint pages, supporting managers to find documents that they need.
12. Ensure a high level of confidentiality is maintained in all aspects of work in accordance with GDPR regulations.
13. Manage incoming and out-going post within agreed timelines for all areas of People Services.
14. Process all relevant MYHR workflow requests daily in accordance with agreed SLAs.
15. Support any requirements by the People function for mail-merge or bulk letter processing, including sending out P45s, pension letters, loyal service awards etc.
16. Processing of incoming and out-going reference requests.
17. Processing all colleague's personal details changes in MyHR ensuring GDPR compliance.
18. Order stationery and office supplies as required. Including IT equipment requests and Freshways App, catering requirements for team events such as Wellbeing Wednesday etc.
19. Purchase order management including major People Services projects, employee forum initiatives and any ad hoc requests from Head of People Services.
20. Manage the Vercada App, for new starters, leavers, and providing data analysis.
