Helpdesk Co-Ordinator / Planner
Alba Facilities Services Limited is a fast-growing facilities services company operating throughout Scotland, mainly in the Central Belt.
An exciting opportunity has arisen for a full-time, permanent FM Planner to join our small and friendly team. Reporting to the Helpdesk Manager, you will be responsible for the scheduling and planning of works.
Our ideal candidate will have at least one year's experience in a similar planning or reactive role and be eager for a new challenge. We are looking for someone who can deliver a friendly, high-quality front line service, ensuring that an efficient and effective service is provided to all clients and colleagues alike.
Key responsibilities
1. Scheduling and planning of works
2. Management of compliance paperwork
3. Ensuring customer service level agreements are met
4. Communicating with clients and colleagues to provide excellent customer service
5. Dealing with ad-hoc client requests
6. Contributing to the operation of the out-of-hours telephone answering service
7. Take part in an on-call rota (approx 1 week in 5)
Qualifications and skills
1. Experience of working in a similar reactive or planning role is essential
2. CAFM (Computer Aided Facilities Management) system experience is essential
3. Proven understanding of compliance paperwork
4. Experience of working with client portals e.g. Elogbooks
5. Capable of organising works and working to deadlines
6. Excellent communication skills with the ability to build relationships at all levels of an organisation
7. Exceptional telephone manner
8. Strong computer literacy, including Microsoft Outlook, Word and Excel skills
9. Strong attention to detail
10. Ability to work on own initiative and as part of a team
11. Ability to work at pace
