RESIDENTIAL LETTINGS ADMINISTRATOR

The Role
Our Brighton Head Office is looking for an Administrator on a full-time basis. The role forms part of our Residential Lettings Department alongside the Assistant Lettings Manager, two Property Managers; reporting to the Lettings Director.
The role is a fantastic opportunity for an existing administrator looking to further their career. You will be a key contact for Tenants and Landlords, and a great team player providing support to the day-to-day running of the team.
Key Responsibilities and Duties
* Organise all Pre-Tenancy and Check In administration including Tenancy Agreements, Guarantor Deeds, and compliance certificates.
* Prepare and track tenant referencing and ‘Right To Rent’ checks via Goodlord Management system
* Complete new Landlord administration, including signed Terms of Business via DocuSign, and complete Land Registry and AML checks.
* Arrange tenancy renewals for our existing tenants
* Monitor and diarise property inspections due mid- tenancy and arrange inspections with the appropriate contractors.
* Schedule and carry out the tenant’s ‘Check-in’ appointment in the office on the date of move in; sign and collect keys.
* The role forms part of the Administrator team also, in which quarterly company administration meetings are held.
* Fielding incoming phone calls, taking messages, and booking viewings for negotiators when required.
* Assisting visitors to the office for Residential Lettings and signing out keys to contractors.
* A willingness to help where needed in the Department, with viewings and property management support should it occur.
* Occasional reception cover for the building may be required.
Required Skills & Experience
* Experience in Residential Lettings is ideal but not essential.
* A positive and proactive attitude to carry out multiple duties and work well within a team.
* Excellent communication skills and a professional manner on the phone and client facing.
* A strong attention to detail when handling legal agreements and compliance administration.
* Punctual and good timekeeping skills, with the ability to work well to deadlines.
* Good organisation skills.
