PRIMARY PURPOSE OF THE ROLE:
Manage the administration of the Arenas event calendars for Utilita Arena Birmingham and bp pulse LIVE. Supporting the Venue Programming Team in their day-to-day activities. Responsibilities include responding to availability requests from event organisers, holding dates and providing administrative support to the team throughout the booking, confirmation and on sale process.
KEY RESPONSIBILITES:
• Maintain strong relationships with the Venue Programming team and wider Arenas team, offering daily support and a proactive, forward-thinking approach.
• Assist external customers with venue availability, holding dates on the internal booking system as required in a timely manner and ensuring the calendar is always kept up to date.
• Assist the team with site tours and general promoter requests including VIP parking and house seat/ticket purchase requests.
• Assist with the administration of raising licence agreements.
• Build and maintain trusting and productive relationships with promoter assistants and where appropriate promoters, to provide a client focussed and friendly service.
• Compile and distribute Event Notifications to inform and educate departments on upcoming events and forthcoming on sales. Sending outlook invitations to relevant departments and keeping distribution lists up to date.
• Assist with the administration of chasing signed venue contracts and invoice payments, prior to the on sale date.
• Develop strong internal relationships with all other group commercial and operational teams to look for new opportunities to grow the business.
• Support the Venue Programming Team in the organisation of the Sales inbox, redirecting to appropriate departments, inputting new enquires into Dynamics and sharing with the sales team.
• Keep CRM system (Connect) up to date with contacts and create new client accounts.
• Request agent sales figures from promoters and compile sales figures reports.
SKILLS AND EXPERIENCE:
• Experience of an entertainment or events related B2B sales or administration role.
• Able to adapt to a constantly changing and growing business environment.
• Ability to understand the commercial drivers of the business.
• Ability to create new professional relationships.
• Ability to develop relationships across the business internally to ensure successful event delivery.
• Strong organisational skills with the ability to prioritise workload.
• Strong work ethic and attention to quality and detail
• A pro-active nature to include a flexible approach to hours of work especially during busy periods.
• Good communication, interpersonal skills and the capability of working under own initiative with limited supervision
• Computer literacy in Microsoft Office packages is essential
• Dynamics experience desirable
• Professional approach and appearance
• Excellent telephone manner and demonstrate good customer service skills
