With a close-knit team of around 230 colleagues including 26 Partners across offices in Edinburgh, Glasgow and London, Turcan Connell’s comprehensive service covers everything required for efficient tax, estate and succession planning and advises on the many aspects of land and property management and transactions. We also handle the complexities of divorce and family law, employment law and dispute resolution advice as well as providing a range of business law services to our clients. Vacancy We have a new opportunity for a part-time PA to join our Office Services Team on a permanent basis, working primarily with our Business Law team. The role will principally be based in our Edinburgh office, initially fully office based, but in the long term the Firm supports a hybrid working approach through our Smarter Working policy. The part-time hours are 25 hours per week. Ideally the successful candidate will work Monday to Friday, 5 hours per day, however, there is some flexibility on work pattern. Role The successful candidate will provide a proactive and comprehensive PA service to our Business Law Partner and their team to enable them to focus their time on providing legal services to clients. As a PA you will manage diaries, ensuring these are kept up-to-date and include all meetings and periods of absence (e.g. holidays, etc.), as well as arrange internal and external meetings including the booking of rooms, arranging refreshments and equipment as required. Checking rooms prior to meetings and liaising with other attendees. The successful candidate will keep Partner/Fee Earners advised of upcoming activities and provide any required papers in advance plus will prepare and distribute meeting packs/working papers in advance of diarised meetings. PAs also take telephone calls on behalf of the team and take accurate messages where required, passing these on in a timely manner. As part of this role, you will send emails on behalf of the team as and when required as well as monitor post/emails as requested and ensure all relevant client related correspondence is directed to the appropriate colleague. As a PA you will be required to produce Aderant reports and make any team travel arrangements when required. The role of a PA also ensures out-going mail, and enclosures are ready for collection by the mailroom and that all documentation is signed and sealed, where possible and should be ready in a timely manner. PAs also complete our CMI and AML processes for their teams and assist fee-earners in organising Business Development and Marketing activities as required. As a PA you will also assist and liaise with fee-earners and the Finance team for any financial matters including Cashroom and Billing tasks e.g. raising bank transfers requests and assisting in the production of fee letters/emails. The successful candidate will have previous PA experience and Legal Secretarial experience is desirable. Advanced knowledge of Microsoft Office is required, and training will be provided on Firm systems. You will have excellent communication, organisational, team and interpersonal skills. A high level of attention to detail is a must along with confidentiality and the ability to work on own initiative and prioritise own workload. You will be flexible, dependable and have the ability to work to tight deadlines, remaining calm under pressure and be able to multi-task. Ability to build and maintain strong relationships in a confident & professional manner is essential.
