Essential Duties and Responsibilities Procurement /Purchasing: Raise purchase requisitions/purchase orders and maintain site suppliers register file updated Act as Accounts Payable to register and map invoices with purchase orders as well as verify invoices for work completed, before transferring to AP team Support the facility management and sourcing teams and check if expiry of contracts/payment terms/HSE documentation are well-monitored and re-qualification is initiated if needed Follow the established financial process indicators while creating purchase orders Update all the procedure documents by need or if any changes and capture any exceptions as required Track the End-to-End procurement/sourcing/payment process is followed and ensure vendors are paid within 90 days after the services are delivered Forecast/Budget management – Track each PO/spend into its dedicated budget and ensure forecast vs budget is respected Other required tasks may include: Assist with reports preparation Record received documentation and information Identify queries, data gaps and missing information Resolve queries in a timely manner Manage JLL systems and tools Assist the team with operational site activities for the delivery of capital projects Regular liaison, communication, and consultation with the operational managers from the sites supported Closely support the client, JLL Sourcing and Facility Management teams to drive both immediate and sustained benefits to the client Establish work priorities, assign deliverables, and resolve issues with Operations and other stakeholders to assure client and vendor satisfaction Ensure, when a PO is created, that the dedicated JLL supplier’s pre-qualification and compliance standards are maintained. Work with an innovative approach and propose changes when better practices can be implemented Collaborate in cross functional teams and provide back up when needed Key Performance Measures Timely Purchase Orders raised Invoices paid on-time Zero P2P compliance issues Skills Customer experience focused Communicative & pro-active Client and Relationship Management Skills Positive and independent can-do approach Team player Ability to deliver under pressure and tight timelines Good interpersonal skills Good oral and written communication skills Competencies Very good English language skills (spoken and written) Microsoft office365 skilled Experience 3 years’ experience in customer service-related or administrative environment. Working in multi-national environment. Qualifications University degree or similar experience.
