Main duties of the job
NHS Sussex is recruiting for a System Coordination Centre Coordinator to join the System Resilience & EPRR function. The post holder will support teams to ensure that the portfolio of tasks/projects is planned, managed and delivered effectively. The post holder will support and inform the targeting of resources, monitoring, implementation and evaluation of tasks/projects by providing high quality support - including complex information and analysis, communications and stakeholder management. The post holder will also ensure accurate and open communication and co-ordination with a range of organisations and individuals, researching and drafting correspondence and papers and ensuring the management of specific tasks as well as lead reporting and analysis across a range of specialties, functions and projects. The post holder will become a key member of the team as well as supporting effective communication and stakeholder management, both internally and externally.

Job responsibilities
1. Provide administrative support to the System Operations team and the System Control Centre (SCC).
2. Co-ordinate and facilitate internal and external meetings and all associated documentation including agenda setting, minute taking and noting risks and actions on behalf of the meeting chair.
3. Carry out administrative tasks related to the co-ordination of the SCC inbox, ensuring timely cascade and response to information requests from internal and external colleagues including other ICBs and NHS England.
4. Collate risk management information received from senior System Operations colleagues to ensure risk and actions registers are effectively maintained and provide administrative support to meetings to ensure this is regularly updated and reviewed.
5. Support the local implementation of the vision, strategic aims and approach for Sussex Health and Care System operational resilience, under the management of senior system relationship managers.
6. Manage the administrative processes and inboxes to ensure effective System Operations and resilience.
7. Support the system relationship managers in the delivery of their projects and key deliverables.
8. Provide minutes, action plans and administrative coordination as required to facilitate System Operations processes for assurance and service development.
9. Support and schedule system (cross-organisational) meetings.
10. Support the collation and implementation of local systems operational resilience and surge plans.
11. Monitor daily reporting systems relating to resilience and surge, highlighting risks to senior System Operations colleagues.
Person Specification
Experience
* Experience and understanding of evaluating and measuring the performance of health services.
* Experience in communications and stakeholder management.
* Comprehensive knowledge of project management and/or health information systems development.
* Workforce development knowledge and experience.
* Working knowledge of Microsoft Project ECDL.
* A good understanding of the health and social care environment and roles and responsibilities within it.
Qualifications
* Educated to degree level in relevant subject plus further training to post graduate diploma or equivalent level of experience working at a similar level in specialist area.
* Further training or significant experience in project management, financial management or supporting change management processes.
Skills and Knowledge
* Clear communicator with excellent writing, report writing and presentation skills; capable of constructing and delivering clear ideas and concepts concisely and accurately for diverse audiences.
* Evidence of success in efficient and effective project and programme management.
* Skills for communication on complex matters and difficult situations, requiring persuasion and influence.
* Skills for nurturing key relationships and maintaining networks.
* Ability to analyse and interpret information, pre-empt, and evaluate issues, and recommend an appropriate course of action to address the issues.
