To work as part of the Inpatient team providing comprehensive reception/administrative support at Swallownest Court. The post holder will be required to work collaboratively with other administrative staff providing cover as required to ensure the smooth running of the whole service on site. To provide courteous and effective reception / telephone / administration duties for the site, ensuring a professional service and image is maintained at all times.
Ø Receiving patients/visitors/carers/maintenance personnel in a pleasant and efficient manner, ensuring office procedures/protocols and health and safety guidelines are following and notifying the appropriate person of their arrival.
Ø Ensure continuing care of waiting visitors in the Reception area.
Ø To undertake financial duties for patients and staff on site – keeping payment records, banking of monies, weekly ordering of monies and receiving and receipting of monies. Storage and safe keeping of patient’s personal possessions in a safe and secure manner. Adhere to the Trust’s Financial Procedures, providing a secure financial service.
Ø To undertake quarterly financial audits on the wards, reconciling balances against the Finance Office imprest. Alerting Operational Services Manager of any discrepancies.
Ø To undertake switchboard duties, receiving calls and enquiries and taking of messages as appropriate.
Ø Maintain a sign in/out register for visitors and issuing of contractual badges and visitors ID.
Ø Order stationery/general supplies for the wards and site, maintaining adequate stock levels using the procurement electronic ordering system.
