We are looking for a highly organized and detail-oriented CMMS & Asset Lead to take charge of our Computerised Maintenance Management System (CMMS) and ensure the efficient tracking of all assets across the organization.
In this role, you will lead a team to maintain accurate, up-to-date asset records, generate critical reports, and coordinate maintenance activities. You’ll work closely with the engineering and facilities teams to ensure seamless operations while also overseeing the procurement and service contracts for laboratory equipment, managed by your team.
The ideal candidate will have a strong understanding of asset management processes, playing a key role in scheduling contractor visits and managing asset-related documentation to support a well-maintained, high-performing environment.
Key Responsibilities:
Management of Asset Management System:
1. Oversee and maintain the CMMS, ensuring the system is accurate and up to date with all asset details.
2. Manage asset lifecycle information, including new assets, updates, and disposals.
3. Ensure all asset-related data is entered and maintained in accordance with company policies and procedures.
Uploading Reports and Certificates:
1. Upload and manage reports, maintenance records, calibration certificates and compliance documentation for all assets.
2. Ensure all required documents are attached to the relevant asset records in the CMMS for easy access and tracking.
3. Ensuring that all maintenance related documentation has been reviewed before being entered onto the CMMS.
Report Generation:
1. Generate and distribute equipment status reports to key stakeholders on a regular basis.
2. Prepare and share reports on upcoming maintenance activities, ensuring that engineering and facilities teams are aware of scheduled tasks and required actions.
3. Provide regular updates on asset performance and maintenance activities, identifying trends or issues that require attention.
Communication with Engineering and Facilities Teams:
1. Act as a liaison between the CMMS system and the engineering/facilities teams, ensuring timely communication of upcoming maintenance requirements, service visits, and tasks.
2. Collaborate with the teams to ensure the alignment of maintenance schedules and asset servicing.
Scheduling of Contractors:
1. Working with the engineering and facility team to coordinate and schedule contractor visits to the site for maintenance, repairs, or inspections in line with equipment requirements.
2. Ensure that contractors are notified in advance and that all necessary preparations are made for their visit.
3. Track contractor performance and ensure that all service visits are completed as per the requirements.
Process Improvement:
1. Identify opportunities for improving asset management processes, CMMS functionality, and data accuracy.
2. Proactively suggest system updates or process adjustments to enhance efficiency and support asset management goals.
Essential & Desirable Skills, Qualifications & Experience:
1. Proven experience in managing CMMS or asset management systems.
2. Strong understanding of asset lifecycle management and maintenance operations.
3. Excellent organisational skills with the ability to manage multiple priorities.
4. Experience in coordinating maintenance activities and contractor schedules.
5. Strong communication skills, with the ability to liaise effectively with internal teams and external contractors.
6. Proficient in Microsoft Office Suite (Excel, Word, Outlook) and CMMS software.
7. Ability to generate and interpret maintenance and asset performance reports.
8. Strong problem-solving skills and attention to detail.
9. Experience of leading a team.
10. Excellent team player and interpersonal skills.
11. Experience with scheduling tools and maintenance planning.

Terms of Appointment:
1. You must have the right to work permanently in the UK with a willingness to travel as necessary.
2. You will live in, or within easy commuting distance of, Oxford.
3. During peak periods, some longer hours may be required and some working across multiple time zones due to the global nature of the programme.
