Job Summary:
We are seeking a highly organised and detail-oriented Business Support Administrator to join our team. The successful candidate will be responsible for providing comprehensive administrative support across various business functions, ensuring smooth and efficient operations. Experience in process mapping would be beneficial
Key Responsibilities:
* Veeva Promo Maps: Manage and update Veeva promo maps to ensure accurate and timely information for approval of documents.
* Procure to Pay Process: Oversee the procure to pay process, including the creation and management of purchase orders and invoices, this includes the setup of new vendors and any changes to supplier’s details.
* NDA, Contracts, CAFs: Handle the administration of Non-Disclosure Agreements (NDAs), contracts, and Customer Authorization Forms (CAFs).
* DocuSign: Facilitate the electronic signing of documents using DocuSign.
* Ordering of Business Cards: Coordinate the ordering and distribution of business cards for employees.
* Email Distribution Lists: Maintain and update email distribution lists to ensure effective communication within the organisation.
* Event Support: Provide support for company events, including logistics, setup, and coordination alongside a third-party agency.
* Organising Meetings with Lunch: Schedule and organize meetings, including arranging catering and refreshments.
* Contract Tracker Maintenance: Maintain and update the contract tracker to ensure all contracts are current and accessible.
* Apprenticeship Administration: Manage the end-to-end administration of apprenticeship programs, including enrolment, tracking progress, and coordinating with training providers.
* Training Course Administration: Administer training courses, including sending joining instructions, arranging venues, and organizing refreshments.
Qualifications:
* Proven experience in a similar administrative role.
* Strong organizational and multitasking skills.
* Proficiency in Microsoft Office Suite and other relevant software.
* Excellent communication and interpersonal skills.
* Ability to work independently and as part of a team.
* Attention to detail and a high level of accuracy.
Preferred Qualifications:
* Experience with Veeva, DocuSign, and other relevant tools.
* Knowledge of procurement processes and contract management
