An exciting opportunity has arisen to join the Specialist Surgery and Major Trauma Care groups as Care Group Management Secretary.
You will work as part of a small Administration Team to support the Care Group Chief of Service, Operations Director, Nurse Director, and the wider senior management team to ensure the efficient and effective provision of secretarial and administrative services in support of the Management Teams within the Specialist Surgery and Major Trauma Care groups.
Main duties of the job
Duties will include:
* Extensive diary and meeting management and providing full comprehensive secretarial support to the Team.
* Formal minute taking for Care Group meetings.
* The maintenance of action trackers and other documentation.
* Meeting and welcoming visitors to the department as a first point of contact.
Job responsibilities
The main responsibilities for the role are:
* Extensive Diary management for the triumvirate and wider management team.
* Meeting Management for Care Group and individual meeting requests including collating agenda, maintaining action trackers, and other associated documentation.
* Comprehensive secretarial support to the Care Group Triumvirate and wider senior management team.
* Formal minute taking.

Person Specification
Qualifications
* Typing qualification to RSA II level or equivalent practical experience.
* NVQ 3 in Business Administration or similar area or equivalent level of experience.
* Hold a minimum of three GCSE 9-4 passes or equivalent.
* Relevant IT qualification or equivalent level of experience.
* RSA III.
* Short hand.
Experience
* Experience of working in an office environment.
* Able to demonstrate secretarial experience supporting a busy senior management team.
* Experience in using electronic scheduling/diary systems.
* Evidence of effective use of MS Office packages including Windows, especially regular use of Word, Excel, PowerPoint, and Outlook.
* Evidence of effective use of bespoke IT systems.
Skills, Knowledge and Ability
* Experience of working in a customer-facing environment (face to face and on the telephone) demonstrating positive customer service skills.
* Excellent telephone skills and telephone manner.
* Able to work well using own initiative.
* Able to deal with conflicting priorities and a complex workload.
* Excellent interpersonal communication skills with a polite and professional manner.
* Ability to manage own workload and work on own initiative, dealing with conflicting priorities and able to meet demands of working in a busy environment through commitment to working to deadlines and providing updates as to progress.
* Minute taking skills.
* Experience and aptitude for systems and processes preferably within a healthcare environment.
