Role:
Newton is a growing Property Management organisation, and our recent growth has resulted in the need to expand our People and Culture Department. Reporting to the People Manager, this position will provide administrative support to the People and Culture Department. The role is based in our Glasgow Head Office, and the working pattern is Monday to Friday 35 hours per week. The right person for the role must understand the importance of private and confidential information and will be required to sign a Non-Disclosure Agreement as they will be dealing with employee records.
Main responsibilities:
Onboarding and Offboarding:
1. Send new employee paperwork to the relevant person(s).
2. Add employees to Newton’s HRIS.
3. Scan all employee documents (contract, signed policies etc).
4. Admin-based offboarding tasks.
Administration and Record Keeping:
1. Maintain and update employee records (HRIS system, employee files, appraisal system, probation reviews).
2. Scanning and organisation of employee files.
3. Ensure compliance with GDPR, company policies and confidentiality.
4. Create efficient methods to ensure all employee files are up to date.
Specific skills, capabilities & requirements:
1. Strong organisational skills
2. Proficient in Microsoft 365 (Outlook, Teams, Word, Excel)
3. High level of confidentiality and professionalism
4. Excellent written and verbal communication skills
5. 1+ years in a HR Admin Assistant role or equivalent
6. 2+ years’ experience in an office-based role
