VIP & Institution Relations Manager, EMEA

Who You Are
Reporting to the Head of VIP, EMEA, the VIP & Institutions Relations Manager, EMEA will play a key role in cultivating and maintaining strong relationships with top institutions, including museums and galleries, with the goal of driving institutional engagement across all Frieze fairs. This role will work to ensure that key institution stakeholders, such as Museum Directors, Development staff, and Curators, are actively attending the fairs and are involved in Frieze events and programming.
Responsibilities Include But Not Limited To:
1. Work with the Head of VIP and Fair Director on building and implementing a cultivation strategy for institutions in the region.
2. Research and identify key museums actively acquiring contemporary, modern, and historical art in the region and those who have solid patron support.
3. Identify opportunities for new in person and digital initiatives that respond to institutions needs.
4. As agreed with the Head of VIP, travel extensively and attend key art events to build relationships with key institutions in the region.
5. Be the dedicated contact for institutions in your region, regularly engaging and encouraging their attendance at all fairs.
6. Support preparation and delivery of VIP events in the region including invites drafting, guest lists and guest profiles, working closely with the Events team and Frieze VIP Consultants.
7. Create detailed report after each trip or meeting and contribute actively to adding and refining in depth intel into the database.
8. Coordinate and initiate tailor-made itineraries for institution groups from the region, ensuring the success of their trips to all fairs.
9. Identify and coordinate opportunities with local and regional institutions; host targeted initiatives as agreed with Head of VIP.
10. Support the development of the VIP Programme for fairs in the region.
11. Build knowledge of Frieze galleries and their programme, attend gallery openings in the region.
12. Speak to Frieze galleries from the region to gain intel on active institutions and patron groups.
13. Facilitate onsite tours with directors and sections curators for institution groups.
14. Deliver introductions of institutions to exhibiting galleries at the fair and year-round.
Data & Communications
1. Working closely with the central VIP team, agree and monitor an annual communications plan.
2. Oversee communications with institutions including invitations, nominations and targeted touchpoints.
3. Manage the creation and review of guest lists for specific events and VIP lists for fairs in the region, ensuring liaison with VIP managers across all regions.
4. Support the creation and mailing of relevant invitations and newsletters.
5. Support management of VIP inboxes where requested.
6. Work closely with the central VIP and data teams to ensure all Frieze processes are followed, particularly that data is always entered and communicated accurately.
7. Source contact details and implement into database; offering guidance of what access and invitations they should receive to Frieze fairs.
Team & Processes
1. Contribute to overall onsite processes including liaison with consultants, management of onsite desks and temp staff as required during fairs.
2. Provide weekly updates to senior team on strategic progress and delivery of KPIs.
3. Share regular updates on attendance pre-fair, coordinate post fair reports with central VIP and data teams, feed into debrief process and ensure improvements are tracked and implemented year on year.
4. Manage and track team invoicing and expenses for the region.
You Will Have The Following Strengths:
1. Experience working in a museum, gallery, or similar cultural institution, with a focus on development, outreach, or institutional relations.
2. Proven experience in managing projects within the arts and cultural space.
3. Experience of building external and internal relationships.
4. Excellent organisational and time management skills.
5. Ability to work under pressure and collaboratively work as part of a team.
6. Experience of working with data, analytics and a database.
7. Experience of using Microsoft applications and CRM databases.
8. In-depth understanding of the art world and the key institutions in EMEA.
9. Proven track record of building and maintaining relationships with museum and gallery professionals, including museum directors, development staff, and curators.
10. Flexibility to travel and work weekends/evenings as required.
