The workplace community team are covering a 10hour day shift, split between the 3 members on a weekly rota basis. Role and Responsibilities What will your essential responsibilities include? Responsible for the post/mail/parcel of the whole UK & Lloyds business, other entities and suppliers present in our offices Control, restock and order, all stationeries Liaising on day to day with external partners such as post, carrier, stationaries suppliers. Managing varieties vendors relationship for varies of contracts below £200,000. Ensuring franking machine and other equipment are fully working and up to date with latest internal IT security requirement, liaising with IT team to resolve when necessary Helping the community leader on tendering and procurement process for the vendors under the community remit. Ensuring client account is fully up to date, following up on invoices dispute and tracking expenses. Recording post and additional chargeable duty delivered to other AXA entities Working closely with the Workplace Experience Manager, IT team, Reception, Cleaning and Catering team to ensure our colleagues are receiving the best experience. Conducting the DSE (Display Screen Equipment) assessment for all colleagues in the workplace Helping the wider team to get the DSE platform up to date with colleagues’ details Responsible for the meeting rooms and events spaces readiness for colleagues and guests and set as per business requirement. Daily floor walk, checking on room presentation, IT set up and cleanliness Must be able to travel to others AXA XL office in the UK on regular basis, possibility to use the company van. Deliver a safe, secure, and inclusive work environment by providing excellent standards of workplace accommodation and high-level services for all staff, guests, and other occupiers of the premises. Liaising with Business Partners of the functions, network groups and other AXA’ entities present in the property, to ensure colleagues experiences in the office are beyond and above expectation Working as “ONE Team” with the other members of the Workplace Team and suppliers Supporting the Community leader on the archives and warehouse/storage needs Dealing with internal and external moves for the business and across the portfolio Perform regular inspections within the offices with a focus on delivering best customer experiences and providing comfortable ambiences for the occupants, taking particular care and attention to detail to reach the highest standards. Working closely with your supplier chains to ensure efficient delivery of the services needed for the business Perform any related duties as assigned upon business request.
