JOB TITLE: TGCS UK&I Sales Support Specialist
DEPARTMENT: TGCS UK&I Sales Support Operations (SSO)
REPORTS TO: TGCS UK&I Operations Lead
OFFICE LOCATION: Office based, Leeds (hybrid)
CONRTACT TYPE: Temporary Contract (12 month duration)
SCOPE:
We are looking for a Sales Support Specialist who delivers operational improvement and excellence. This role will see you instrumental in the continued growth of our operations as we enter a period of accelerated growth and development. Working as an integral part of the TGCS Operations Team, you will provide best-in-class service to all our customers, business partners and sales team regarding all Sales Support Activities.

KEY ACTIVITIES AND RESPONSABILITIES:
* Deal with customer queries (internal or external) via multiple communication channels (telephone, e-mail, video call) in an effective and timely manner
* Build effective, influential relationships with customers, suppliers, external contacts and cross functional teams by collaborating closely with related functions
* Ensure compliance to all audit requirements and established processes acting in accordance with all company policies, procedures and performance standards
* Data management and or/ report requests as required by sales team or line manager
SYSTEMS MANAGEMENT
* Monitor and Manage the Sales Support Operations Task.ID system
* Order Quoting in Oracle Quoting: assist sales & technical pre-sales teams in the creation of new quotes for Hardware and Software in Oracle
* Creation of Firm Order Exception (FOE) i.e. soft orders for TGCS Hardware only via Lotus Notes System
* iProcurement: creation and management of TGCS standard Purchase Orders for all third-party suppliers – as required
* New Supplier setup: assist sales team in completion of new supplier setup templates, seek procurement approval and submit request on SharePoint
COLLABORATION
* OEM: request sourcing and supplier quotations for new original equipment manufacturer (OEM) items via procurement team and the new OEM item setup as required
* Order Loading: validate SSO template details, determine source of supply and load order
* New Customer setup: assist sales team in completion of new customers setup templates and request new Customer Master Record (CMR) or updates to existing CMRs as required
* Assist Sales and Managed Services Project Managers with tracking of costs and pricing in support of projects as required
MAINTENANCE
* Software Maintenance (SWMA): pricing approvals, credit check etc.
* Hardware Maintenance (HWMA): based on contracted inventories provided by SDMs (Service Delivery Managers), validation of data against existing contracts, creation of contract modifiers in OKS for new contracts and contracts renewals – for quotations, entitlement and/or billing as required
* Shell Invoicing: for HWMA, Ad hoc, Per Event billing – creation and loading of new modifiers in OKS and validation of all supporting evidence prior to requesting activation by Customer Fulfillment Team
* Install Base: request install date and install address updates as required
WHO WE ARE LOOKING FOR [SKILLS AND QUALITIES REQUIRED:
* Previous knowledge of sales support processes, systems and related interfaces
* Demonstrable experience working in a similar environment
* Experience/proficiency with Oracle/SAP preferred and Microsoft office products, especially MS Excel
* Proven experience and understanding of customer needs and meeting expectations
* Confident communicator with strong relationship and stakeholder management experience
* Excellent planning, time management, organisational skills, able to prioritise workload and multi-task
* Work effectively under pressure and use own initiative
* Team player - ability to work collaboratively and forge business relationships
* Attention to detail and proven problem solving/analytical skills
* High energy with capability and willingness to learn, apply process knowledge to business requirements
* Availability to work at month and quarter closes is critical
* Open to travel for business purposed as and when required
