The Outpatient Coordinator ensures the efficient scheduling of patients’ outpatient appointments on behalf of the Trust’s clinical directorates and within NHS target guidelines, escalating issues to the relevant Directorate personnel as appropriate. Support will be provided to the Service Manager which includes the day to day management of a busy department and reception and ensures all staff are inducted and provided with appropriate on-the-job training in Trust and departmental policies and procedures, and support new and temporary members of staff, monitoring progress and initiating corrective action where necessary.
The post holder will act as Deputy to the Administration Manager for the day to day supervision of the outpatient clinics and line management of outpatient admin teams and will work closely with the Administration and Service Managers to ensure the quality service.
The post holder will also be responsible for overseeing the booking of appointments and procedures, ensuring referrals are dealt with efficiently and that targets are met. The post holder will oversee clinic cancellations and ensure necessary reductions are made in response to medical staff absences.

The successful candidate will play a crucial role in delivering a high quality Outpatient service and should demonstrate excellent communication skills. A good telephone manner with the ability to show initiative in answering patient / staff queries is essential. Experience of working in a busy NHS environment is essential along with excellent IT skills and good knowledge of hospital software, particularly Medway PAS and the Electronic Referral System, ERS. You will have a good command of the English language with the ability to accurately convey verbal and written information. You must be well motivated and reliable, with a 'can do' attitude.
Due to the sensitivity of the role you will need to be able to demonstrate a clear understanding of confidentiality issues.
