Job Responsibilities:
* To actively manage the accounts payable function so that the reported ledger amount reflects a true position of the company trade creditors at the end of every accounting period.
* To actively manage the cashbook function so that the reported ledger amounts reflect a true position of the company’s cleared and uncleared funds amounts at the end of every accounting period.
* To actively provide support to the Marketing, Buying and Sales teams with the production of accurate statistics and ad hoc business reports.
* To provide cover as and when required for absences within the finance department team.
* To adhere to the company’s financial and risk policies and procedures.
Specific Responsibilities:
Accounts Payable
* Ensure all invoices/credit notes are processed on a timely basis, ensuring accuracy of data entry and coding.
* Obtain authorisation where necessary for invoices before processing.
* Reconciliation of supplier statements.
* Prepare weekly payments runs BACS or EFT within agreed supplier terms. Ensure that all payments are authorised as per the appropriate bank mandate(s).
* Liaising with suppliers and internal departments to resolve any account queries.
* Ensure that supplier Direct Debit payments are recorded on a timely basis.
* Ensuring all purchase ledger documents are filed correctly and in an easily retrievable order.
* Ensure proper housekeeping of purchase ledger.
* Prepare the daily advices for mailing to broking customers.
Cashbook
* Process daily upload of the bank statements into the cashbook.
* Process the relevant journals to clear open items on the cashbook.
* Perform weekly and monthly bank reconciliations, ensuring the cashbook balances agree with the general ledger.
* Be a finance contact for specific internal business departments, the primary role to assist the heads of these departments to manage their areas more effectively with the production of performance reports and business analysis.
* Daily cleared balances treasury reporting.
* Assist the Finance Director in producing financial reports for the Board Packs.
* To process various statutory reporting requirements such as the quarterly Payments Practice return.
Other Responsibilities
* Periodic reconciliations of balance sheet control accounts.
* Periodic motor expense costs reporting and reconciliation.
* Other ad hoc duties as required.
* Provide cover where necessary for team absences.
* Support the team with year-end audit.
* Experience working in a multi-currency purchase ledger environment.
* Confidence in the manual processing of large volumes of invoices.
* Good Excel skills (Vlookups, Pivot Tables and basic formulas).
* Good working knowledge of Microsoft 365.
* Strong communication skills both verbal and written.
* Able to manage stakeholders at all levels both internally and externally.
* A team player who can also work autonomously and manage own workload.
* Pragmatism and a flexible approach to finding business solutions.
* An aptitude for systems and process improvement.
* Numeracy, accuracy, honesty and conscientiousness.
* Working knowledge of Microsoft AX 2012 or Microsoft Dynamics 365.
* Experience of producing balance sheet reconciliations and using control accounts.
* Experience of performing bank reconciliations.
* Part qualified to AAT level 3.
OFFICE BASED ROLE AT THOMAS MORE STREET, LONDON E1W 5 DAYS PER WEEK.
