Project Support Assistant Job Description Grundfos European Industry Project team are looking for a Project Support Assistant in the UK, could this be you? Who are the Industry Europe Projects office? The Industry Europe Projects office is a dedicated team responsible for overseeing and managing project sales operations within Europe. Their primary objective is to streamline and consolidate the entire process, ensuring efficiency and smooth execution from start to finish. By centralizing project sales activities, this office aims to optimise operations, enhance communication, and deliver exceptional results for Grundfos in the European market. From Sales and Service to order fulfilment, finance, legal, procurement and operations within Industry. Structuring a network with key stakeholders across Grundfos for project business, to be successful in project sales, ensuring increased sales with profitability and high customer satisfaction. In particular, the Project office team is responsible for proposals and order fulfilment stages. As a Project Support Assistant in the team, you will be responsible for advanced level administration and capturing all project resources on our project systems (SAP CRM/SAP PS/SD). You will ensure co-ordination between proposals manager, project manager, customer, 3rd party suppliers, contractors and document handling. You will also have the following responsibilities: - Accountable for all the logistics in projects - Quoting and fulfilment for transportation, packaging, customs fee, transit costs, etc. - Ensuring packaging and marking requirements are quoted correctly and fulfilled - Customer inspections at warehouse - Customer logistic point of contact - Customs management - Cost calculation and number of containers - Managing and controlling project status in regard to these tasks - Ensuring that all project bill of materials is purchased and arrives on time - SAP (PS and SD) order handling inside PS module, for sales orders, purchase orders, PS module, and SAP CRM update data, inbounds and outbounds - Invoicing per billing milestones achievement and per project invoicing instructions requirements: documentation, format of the invoice, invoicing platforms, credit letter management and control for export projects. - Timesheet control for all project team and recording - Accountable for the customer documentation management and fulfilment in project order - Documentation control - Issuance Logistic and packing lists documentation per project needs - Formatting project documentation per customer templates - Chamber of commerce origin certificates Why Grundfos?
