Role: Personal Assistant to Founder

Contract Type: Full Time, working 7.5 hours per day, 5 days per week

About You
We are seeking a proactive PA to support the Founder of Oner Active. The PA’s primary role is to be the 'right hand person' to the Founder of this cutting-edge activewear brand. The PA will be required to own both business and personal administrative management for the Founder, proactively supporting them in their day-to-day life and business activities.
This role will report directly to the Executive Assistant to CEO, and provide additional support with various ad hoc tasks, such as organising lunches for the senior leadership team, CEO, and founders, as well as coordinating boardroom setups.
While this role offers hybrid working, flexibility is required based on business needs. If the founders or senior leadership are in the office or there is a significant meeting or event that requires support, the expectation will be to work from the office. Some weeks may require being on-site full-time, depending on the demands of the role and the level of support needed.
You’ll be responsible for:
* Managing and organising business and personal calendars for the Founder, ensuring all activities are planned efficiently.
* Liaising and coordinating with multiple stakeholders and leaders to align schedules across business calendars.
* Scheduling personal appointments for the Founder and family members, ensuring timely coordination.
* Arranging payment for personal and business appointments and maintain detailed records of these transactions.
* Organising business and personal gifting, ensuring thoughtful selections for all occasions.
* Overseeing home projects, including renovations and garden maintenance, while introducing new suppliers to maintain high quality and cost-effective services.
* Researching and planning personal activities, including international holidays and short-term breaks, ensuring a seamless experience.
* Preparing detailed itineraries for personal trips, including restaurant recommendations, activities, and logistics.
* Handling the renewal process for personal documents such as passports, visas, and other necessary paperwork.
* Coordinating and oversee personal and business events, including booking hotels, makeup artists, stylists, and hairdressers.
* Managing travel arrangements for family and friends, ensuring smooth coordination and planning.
* Handling all incoming invitations for the Founder and ensure appropriate responses are made in a timely manner.
* Sourcing and purchase personal gifts, ensuring quality and relevance to the occasion.
* Ensuring the leadership team has prepared lunches, beverages, and refreshments for larger meetings or busy schedules.
* Scheduling and manage meetings, appointments, and travel arrangements for the Founder and key team members.
* Organising venue bookings for leadership team strategy sessions, ensuring all logistics are in place.
* Coordinating calendar management across various time zones, ensuring seamless scheduling for all international commitments.
* Handling ad-hoc duties as required, responding to urgent requests or last-minute tasks.
* Adapting to the dynamic nature of the role, supporting the Founder in various daily activities, including being present on set as needed.
* Coordinating lunch runs for the Founder, CEO, and Senior Leadership Team.
* Overseeing property management, ensuring all necessary items are prepared and set up prior to the Founder's arrival at any property.
* Arranging car transfers for the Founder and family, ensuring timely and comfortable transportation.
You’ll need to have:
* Ideally 1-2+ years’ PA experience
* Ability to comfortably and continuously re-prioritise based on conflicting schedules or unforeseen changes.
* Ability to be self-sufficient and willing to be adaptable.
* Ability to undertake international travel sometimes at short notice.
* A proactive attitude and able to 'second guess' requirements.
* A positive, solutions-driven mindset and a natural negotiator.
* Ability to highly communicative and articulate with the ability to build relationships with key stakeholders and suppliers.
* Previous experience working with sensitive and confidential information.
* Ability to multi-task and work well under pressure and across international time zones.
* Strong decision maker attitude.
