Position Summary:The Office Manager/Administrative Assistant will ensure the efficient operation of our office environment, providing essential support to the General Manager and senior staff members. This role plays a crucial part in supporting business growth aligned with company forecasting.
Key Responsibilities:
* Answer and manage general calls, including those for the General Manager; take and distribute messages promptly.
* Coordinate and maintain calendars for the General Manager and other senior managers.
* Schedule and organize appointments and meetings as directed by the General Manager.
* Assist in event planning and execution, including taking minutes during meetings.
* Arrange travel and accommodation for staff based on senior management instructions.
* Welcome visitors, direct them to appropriate staff members, and ensure a hospitable environment.
* Prepare refreshments and lunches for meetings as requested.
* Receive, sort, and distribute incoming mail and deliveries.
* Assist with outgoing mail preparation and coordinate deliveries.
* File, scan, and copy documents as required.
* Maintain office IT and storage systems with support from the Group IT department.
* Manage documents, reports, and correspondence as directed by the General Manager.
* Perform errands and tasks as assigned by the General Manager.
* Monitor and maintain office supplies; oversee health and safety audits and improvements.
* Ensure cleanliness and organization of office areas; manage provision of healthy snacks.
* Arrange and manage courier services as needed.
Skills, Experience, and Competencies:
* Proactive and collaborative with a friendly demeanor.
* Previous experience in office management is essential.
* Business college training is advantageous.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
* Strong numerical and literacy skills.
* Excellent organization, planning, and time management abilities.
* Effective verbal and written communication skills.
* Problem-solving aptitude with keen attention to detail.
* Reliable, flexible, and able to prioritize effectively.
* Experience in the beauty industry is preferred but not required.
* Flexible team player with strong analytical skills.
Reports To: General Manager
Working Hours: Monday to Thursday, 08:30 am – 1:30 pm
