We are appointing a Patient Pathway Administrator / medical secretary within the Geratology Department. This post is based in the Geratology Administration department at the John Radcliffe Hospital, with the option of some home working if you choose. You would be allocated a number of named consultants and have full responsibility for their clinics. You will have lots of patient contact by phone and email. Your ability to manage your clinics will be highly valued by your doctors and you will be able to build up strong working relationships with them, as well as with the colleagues in your team. The team is supportive and friendly and they will also provide all the necessary training. We are looking for a self-motivated, enthusiastic individual to join us as a Patient Pathway Administrator working in the Geratology team at the JR. This post is crucial to the on-going development of the service and would suit a candidate who has excellent organisational and communication skills. You will care about giving a good service to our older patients and their families. You will be expected to liaise with staff and colleagues at all levels. You will have proven secretarial skills with the ability to prioritise and manage your own workload to tight deadlines. You will need to demonstrate initiative and flexibility in your approach and be able to work in a pressurised and busy environment. Find out more here www.ouh.nhs.uk Overall objective: To provide comprehensive secretarial and routine administrative support to medical and nursing staff within Geratology outpatients’ service. Responsibilities Management of outpatient clinics for the consultants allocated to you. This will include the junior doctors who also work in those clinics and report to that consultant. These junior doctors rotate on a regular basis. Some consultant clinics also have a specialist nurse attached to them. This will include; Booking clinics with appropriate appointments. Ensuring that the appropriate type of appointment is arranged at the doctor’s direction, including face to face, telephone and video. Contacting patients about their booked appointments and notifying them of changes. This may be by letter, phone or email. Ensuring that the clinic is booked with the correct appointment name relevant to specialities within Geratology. Arranging clinic bookings with regard to clinician’s rotas and planned unavailability. Rearranging clinics if doctors are unavailable at short notice or if clinics are forced to close for other reasons. Acting quickly following clinics to take appropriate action for the ongoing care of patients including checking them out, checking that clinicians have completed patient letters, checking that diagnostic tests have been ordered by clinicians, making follow up appointments, discharging patients as required. All of this work to be in accordance with Governmental standards relating to the 18 weeks wait pathway. Liaising with other administrative and medical staff across the Trust to ensure the smooth running of the clinic including from medical records, ward clerks, radiography etc. This may also apply to interactions with GP surgeries, social services, voluntary sector and other hospitals. Dealing with all incoming mail and taking relevant action as appropriate Provision of some secretarial tasks that do not relate to clinics on request from consultants. Providing cover for colleagues’ planned and unplanned leave on a rota basis, in particular for the two urgent services – TIA and eRS. ·
