Job Details We are currently looking for Support Assistants who will contribute to the professional customer focused Business Support Service that provides a wide variety of administrative tasks - you will work alongside Managers and colleagues supporting the following areas of the Council: Building Services Housing Services Health & Social Care Education & Children’s Services The role involves providing a comprehensive Business Support Service by using computer systems and processes to support service delivery including: Data input/word processing using Word, Excel, PowerPoint etc. generating letters and responses for signature and/or issue and spreadsheets, checking quality of output and advising on layout and presentation if required. Preparing and distributing documentation using Microsoft office packages and Outlook e-mail system, filing and e-filing. Financial transactions using the Council’s financial systems e.g., Oracle, Ash Debtors, LAGAN. Printing, scanning, copying, mail handling and other general administrative duties. Minute taking of meetings held by the Social Work Service. Attending/scheduling meetings either as an individual or to represent the team or to take notes/minutes of meetings. Assist in the arrangement and organisation of diary appointments. Post 1 - Permanent, based at Bankhead: Costing & Billing - Processing, monitoring and analysing costing transactions to allow accurate billing to Housing and Property Services. Post 2 - Permanent, based at Bankhead: Electrical Testing - maintaining a programme and scheduling electrical tests for FC properties. Updating systems with compliance records and documents, handling customer queries via telephone/e-mail to re-schedule appointments for electrical tests and other component replacement programmes. Post 3 - Permanent, based at Bankhead: Gas Servicing - scheduling services for gas boilers, sprinklers and fire alarms for FC properties. Arranging enforced access, updating systems with compliance documents, updating asbestos register, raising orders. Posts 4 & 5 - Temporary, based at Bankhead: Fife Equipment Loan Store - contacting clients to schedule delivery and collection of NHS specialist equipment. Update systems and generating requisitions via Oracle. Post 6 - Temporary, based at Bankhead: Costing Unit & New Builds - Printing construction drawings and updating systems with compliance documents for new build properties. Handling service requests via e-mail and updating costing registers for surveyors. Posts 7 & 8 - Temporary, based at Fife House - Minute taking for meetings held by the Social Work Service, preparing, and distributing documentation, mail handling, invoice/payment/cash processing, scheduling meetings and appointments, handling customer enquiries via phone, e-mail, filing and e-filing. Where the posts allows there is the opportunity to operate a blend of working from home with kit provided and working in a council building. Ensure examples of experience are given to support your application. The Person Educated to National 4 with core skills modules, SVQ1, 3 Standard or “O” Grades or equivalent. You should ideally have experience of using current Microsoft computer-based applications to carry out a range of duties. Good communication skills are necessary including an awareness of customer care with telephone, e-mail, and face to face enquiries. An awareness of confidentiality is essential, along with how you might handle this type of information in a secure and safe manner. Key skills required include accuracy, attention to detail, time management, customer service, interpersonal and organisational skills. You are required to have good levels of interpersonal skills to enable you to work as part of a team or on your own as required. You will be required to attend a virtual interview of around 30 minutes followed by a short skills test.
