THE ROLE
Role Remit: Office Administrator
Location: Leeds
Work Pattern: 8.30am to 5.00pm
3 days a week (Monday, Tuesday and Wednesday)
Department: Operational Support Services
Direct Report: Head of Operational Support Services
Core Responsibilities:
Office Support:
* Carry out general office support duties such as printing, photocopying, scanning and making deliveries around the office.
* Assist with the client onboarding internal set up.
* Assist with set up of breakfasts, lunches, in-house events and to be on hand to assist at these events, when required.
* Order relevant stationery and supplies.
* Deal with contractors/cleaners and ensure all office equipment such as photocopiers/coffee machines are in working order, reporting issues and faults when necessary.
* Assist with requests received by the wider Operational Support Services team as and when required.
* Deal with client file archiving and orderly storage and return of client books and records.
* Provide support with document processing when required.
Front of House Cover (over holidays, lunches etc):
* Be the first point of contact for clients and team members where you'll enthusiastically represent AAB providing a warm, courteous and prompt welcome on arrival for all visitors, ensuring that all expectations are met to a high standard.
* Answer incoming calls, directing to the appropriate person in a quick, friendly and efficient manner.
* Process, scan and distribute incoming mail and deal with all outgoing mail in line with procedures.
* Follow the firm's retention policy to ensure that the incoming mail is destroyed in the correct manner.
* Maintain an accurate visitor log through the Sign-in App and assist visiting team members where applicable.
* Have a full understanding of the hospitality provision in meeting rooms and to ensure that any catering requests are communicated with the service provider in a timely manner.
* Order taxis and couriers.
* Manage the operations and administration of meeting rooms and calendars.
* First point of contact for all team members with office related queries.
Key Skills and Attributes:
* Excellent communication and organisational skills.
* Proficient use of Microsoft Outlook and Teams. Word, PowerPoint and Excel knowledge is advantageous.
* Ability to manage multiple tasks and work to tight deadlines.
* Ability to engage with a range of stakeholders and clients.
Role Requirements:
* Experience in an office environment is required.
* Awareness of a professional services organisation and Front of House duties is advantageous but not essential.
* A proactive and positive attitude to problem solving and the ability to work independently as well as part of a team.
