Cancer Coordinator - Band 4
An exciting opportunity has become available for an administrator to join our friendly Cancer Services Personalised Care and Support Team.
The Cancer Coordinator works alongside the Assistant Chief Nursing Officer – Cancer Services, Personalised Care and Support Lead for Cancer, Clinical Lead, Clinical Nurse Specialists (CNS), Cancer Support Workers (CSWs) and team at the NGS Macmillan Wellbeing Centre co-ordinating, organising the essential day-to-day administration for the smooth running of our personalised care and support programme.
The principal duties of the role will be to co-ordinate the administration, data collection and evaluation of the personalised care and support transformation programme activities and the Cancer Board.
North Bristol Trust is working to ensure all patients diagnosed with cancer and supported at North Bristol NHS Trust will all be offered personalised care and support, as per the NHS Long Term Plan.
This role is based within the friendly Personalised Care and Support Team, working within the Cancer Services Team which is part of the Operations Division. We work alongside all the Cancer Clinical Teams across the Divisions at North bristol NHS Trust.
Knowledge, Training, Experience and Skills required.
Education/training/qualifications
· GCSE English Language and Mathematics (Grades A-C) or equivalent
· NVQ4 or NVQ3 plus additional training to diploma level equivalent, or equivalent through short courses
Work experience
· Previous NHS experience
· Two years’ experience of working in a senior administrative role in an office environment
· Experience of working as part of a multidisciplinary team
· Experience in dealing with the patients and public and dealing effectively with sensitive and confidential information
· Experience of using communication systems e.g. e-mail, telephone, etc.
· IT systems – Microsoft Office programmes, clinical, ordering, finance, etc.
Knowledge/skills/abilities
· Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/instructions to staff and service users
· Evidence of good communications skills and the ability to relate sensitively to patients
· Excellent administrative/word processing skills, and knowledge of Microsoft Office packages i.e. Word, Excel, PowerPoint
· Good keyboard skills inputting data/manipulating information into databases
· Able to compile reports and take meeting minutes
· Attention to detail, well organised, methodical with high standards of accuracy
· Ability to work unsupervised, use own initiative and make decisions
· Knowledge of cancer pathways desirable
· Understanding of person-centred care
· Understanding of the health and social care environment
· Knowledge of NHS IT and clinical systems
· Knowledge of NBT hospital systems desirable
· The ability to work within a team
· The ability to motivate self and others
· The ability to prioritise own workload
· The ability to retrieve and assimilate information from a wide range of sources
· Understanding of the need for discretion and confidentiality
The post-holder will need to communicate well both across North Bristol Trust and outside of the organisation with participating partner organisations.
Main Duties and Responsibilities of the post:
The post holder will be responsible for:
· Supporting the Assistant Chief Nursing Officer – Cancer Services and Personalised Care and Support Lead for Cancer administratively
· Organise, administrate the Cancer Board.
· The day-to-day administrative support for all the programmes – organisation of the various Personalised Care and Support activities, making calls and dealing with enquiries promptly, booking of venues, arranging catering and advertisement of the programmes
· Supporting the setting up and administration of new and non-routine programmes of activity
· Attend meetings as appropriate and provide administrative support appropriately preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions and interviews
· Support evaluation and data collection for the Personalised Care and Support work streams
· Communicating verbally and via email with appropriate personnel
· Inputting data onto the Trust IT systems
· Managing and updating appropriate Personalised care and support for cancer databases
· Arranging mail merges and to send out invites, literature, maps and information packs
· Providing administration support for audit activity when required
· Ensuring that information is disseminated promptly
· General clerical and office management duties within the office e.g. own correspondence, supervised mail shots etc.
· Providing administrative support at the events, courses etc.
· Working together with other administrators/PA’s within the Trust to provide an effective network of communication
Liaise and work with the other cancer transformation programme coordinators in the other Trusts and in the Somerset, Wiltshire, Avon and Gloucestershire Cancer Alliance.
