Job Description: Deliver effective operational and administrative support to assigned practice areas, managing secretarial colleagues, and ensuring efficient processes and resource allocation.
* Provide line management, advice, and coaching to team members, promoting a collaborative team environment.
* Work closely with partners and legal services colleagues to understand needs, develop plans, and address challenges.
* Identify skills gaps, assess training needs, and partner with relevant teams to address gaps.
* Achieve continuous improvement, identifying opportunities for process improvement and enhanced service delivery.
* Manage workload, monitor tasks, and reallocate as necessary to maintain even workloads.
* Communicate regularly with the Personal legal team regarding resource and support.
* Responsible for line management activities, including reviews, appraisals, and performance management.
* Plan for resource needs, undertake recruitment, and address performance, absence, or wellbeing issues.
* Monitor and approve annual leave, unplanned absence, and overtime requests.
* Ensure secretarial colleagues have ongoing training, including technology and tools.
* Manage legal services allocations, update the BigHand server, and allocate Trainees to their EA.
Person Specification:
* Highly experienced line manager and Executive Assistant/Personal Assistant.
* Strong communicator with the ability to build relationships and influence colleagues.
* Self-motivated, resilient, and able to work under pressure with tight deadlines.
* Proactive in problem solving, effective communicator, and flexible in adapting working style.
* Ability to work independently, multitask, and prioritize, with minimal day-to-day instruction and supervision.
* Actively support the Firm's vision and strategies, embracing and promoting change.
Additional Skills:
* Excellent use of Microsoft applications: Word, Outlook, Excel, PowerPoint.
* Experience of DMS and Bighand.
