General Information
Midlands Psychology is a Social Enterprise specialising in community psychological services. We hold a number of public sector and private contracts, most notably in the fields of trauma, emotional well-being and autism. You will be part of a small team of dedicated professionals, who are responsible for providing a range of psychological services.
Overall Purpose of the Role
The post holder will be a member of Midlands Psychology and will be responsible for a diverse range of administrative tasks, which support the day-to-day operation of clinical and support services, in collaboration with the Clinical Director.
Job Requirements
As our Office Administrator, you will be responsible for ensuring the smooth running of all of our administrative processes. You will be the ‘face’ of the business, as our first line of customer liaison, dealing with enquiries across all levels, managing information demands, booking appointments, and keeping confidential records.
Main Responsibilities
1. Coordinate office activities and operations to secure efficiency
2. Manage phone calls, service enquiries and correspondence (e-mail, letters etc.)
3. Create and update records and databases with customer information, personnel, financial and other data
4. Use existing financial software, undertake a number of basic financial tasks including issuing invoices, consolidating payments and processing payroll
5. Track stocks of office supplies, equipment and psychological test materials, placing orders when necessary
6. Attend internal meetings and act as minute-taker
7. Disseminate information
8. Assist colleagues whenever necessary
9. Manage HR demands, interfacing with our external HR advisor
Knowledge and Experience
1. Proven experience as an office administrator, office assistant or other appropriate role
2. Outstanding communication and interpersonal abilities
3. Excellent organisational skills
4. Competent user of databases
5. Familiarity with office management procedures
6. Knowledge of MS Office and office management software
7. Experience dealing with confidential information
8. Experience of working within a Health Care environment
9. Familiarity with Xero or similar finance management software (or willingness to learn)

This job description will be reviewed regularly in the light of changing service requirements and any such changes will be discussed with the post-holder.
It is expected that the post-holder will abide by the policies and procedures held by Midlands Psychology.
This post involves working with confidential information relating to children and vulnerable adults, therefore the post holder will be required to undergo appropriate DBS clearance.

Contract length: 6 months
Pay: £15.00 per hour
