Role: Admin Assistant Location: London Hybrid: 2 to 3 days in the office Duration: 12 months As a Team Assistant, your main responsibility will be to provide administrative support to the teams. You will need to work in a high-pressure environment with ever-changing priorities. The ideal candidate will be a team player with excellent communication skills, capable of engaging with all levels of the organisation and external stakeholders. In this fast-paced and dynamic environment, you will have the opportunity to apply your administrative skills and experience within a successful business. Working alongside other support professionals, you will contribute to the smooth running of the teams. Key duties and responsibilities include: Producing research notes and PowerPoint presentations using in-house templates and systems Setting up audio/video conference calls using Zoom and Webex Assisting Analysts with data collation Updating spreadsheets and charts with the latest data Meeting production deadlines by formatting publications and presentations before sending them for print Liaising with Compliance and Production for quality control Supporting Ad-hoc projects for Analysts Assisting Analysts with client requests Professionally handling calls Arranging complex domestic and international travel arrangements Managing expenses using the internal expense management system Interacting regularly with senior colleagues and external clients Handling sensitive and confidential material Diary management and scheduling meetings Organising/coordinating team/client dinners and events Providing phone coverage for the team Administering expenses for team members Performing daily administrative functions such as scanning and printing Required Skills and Competencies: Experience working in a large organisation (preferably within the financial services industry) Proficiency in Outlook, Word, Excel, and PowerPoint Strong multitasking and organisational skills Excellent written and oral communication skills Ability to work collaboratively with staff and clients Proactive, detail-oriented, and able to prioritise effectively Ability to work efficiently in a fast-paced environment Professional and diplomatic approach with a strong commitment to maintaining confidentiality Flexibility to handle overtime and out-of-hours working patterns We offer a challenging and rewarding opportunity to excel in a demanding environment.
