An exciting opportunity has arisen for a full-time Medical Secretary to join the Radiology team at the Churchill Hospital.
The post will be based on-site within a fast-paced patient centred department, providing a 7 day per week service.
The role is part of an experienced admin and clerical team, with good peer group support and works closely with a wide range of clinical staff.
The individual will need to be enthusiastic and work flexibly to ensure admin support is provided for the consultant radiologists, multidisciplinary and administration teams. Working together reliably, to contribute to the delivery of a first-class service to all users.
Applicants should have the ability to remain calm and think logically under pressure, have a positive attitude, and maintain high standards of work. Excellent communication skills whilst demonstrating respect to all is essential.
Required are strong organisational skills and the ability to work on your own initiative as well as being a team player.
Accuracy and attention to detail is vital with a confident level of proven competency in using all Microsoft applications.
The Radiology department is ever-evolving, and applicants would need to demonstrate enthusiasm and welcome change.
Main duties of the job
This role will provide secretarial and administration support for the Consultant Radiologists, working with a multidisciplinary team within the department and the wider organisation. In addition to communicating with patients, external health care providers and GP surgeries.
The post will work with the admin team to support Radiology patient pathways, which include inpatient, urgent, cancer, diagnostic and treatment. All of which have individual KPIs which need to be measured.
Radiology admin also ensure patient information is up to date and accurate on both Radiology and Trust wide information systems. They are a further pause in the process for positive patient identification and help to highlight patient ID queries which supports IRMER compliance.

Job description
Job responsibilities
1. To provide comprehensive secretarial supportfor the consultant radiologists to include diary management, leave and administration duties.
2. Ensure consultant leave is communicated to relevant teams and clinical sessions closed.
3. Process on call payments.
4. To effectively liaise with, and support when the service requires, the wider Radiology medical secretaries across all OUH sites.
5. To oversee and action the urgent and departmental email accounts for GP and in-house queries/communication.
6. Action urgent findings to the referrer and MDT's. Ensure discretion and confidentiality is always followed.
7. Designated point of contact for onsite doctors and team queries, escalate when required to the relevant staff member/team.
8. Action private patient requests from appointment to report allocation. To include relevant paperwork for payment and liaise with the Trust's private patient team.
9. Process medicolegal requests for copy imaging.
10. Process patient requests for copies of health care records and imaging.
11. To send/request images via IEP.
12. To be a departmental Superuser for the hospital EPR and Radiology CRIS patient systems.
13. Use a variety of computer systems to include Microsoft applications, EPR, CRIS and IOV.
14. Answer telephone calls from patients, clinical teams, and external health care providers. Always demonstrate professionalism and ensure that enquiries are dealt with efficiently.
15. Understand and follow all admin workflows and processes to ensure an excellent service is provided to both patients and colleagues.
16. Understand and follow the different patient pathways to assist with appointment bookings as and when required.
17. Any other duties as requested by Admin Manager such as reception cover, support for appointments and secretarial teams within Radiology.
