About The Role
Due to business growth, we have an exciting new opportunity for a Project Support Co-Team Leader to join our team, to support our Southern region, based at our Chandlers Ford branch.
The Project Support Team Leader will be responsible for the management of the Project Support Co-ordinators, ensuring that all Internal Project Planning is executed to the highest standard. This role is responsible for daily running of Project updates.
Main Responsibilities
* Attend weekly Internal Project Look ahead meetings with Project Managers and Senior Solutions Team to gauge pipeline and timeframes of potential upcoming works.
* Carry out ongoing quality control of Project Planning meetings to ensure that they are being carried out, recorded, and documented correctly and to the highest standard, whilst identifying and reporting any areas for improvement or issues to the Project Co-ordination Manager for escalation.
* Lead the Project Support Co-ordinators, managing their ongoing performance through reviews and job chats while ensuring all HR processes are adhered to, i.e. return to work meetings to be completed as soon as possible following periods of absence, and absence reviews arranged as necessary.
* Ensure all probationary reviews are carried out in good time, documented, and sent to HR for record.
* Management of the teams’ annual leave ensuring there is suitable cover for workload, assisting with holiday/absence cover if required.
* Work closely with the Scheduling Team Lead following weekly Look Ahead meetings to ensure they are aware of pipeline jobs and can update their teams accordingly for the scheduling whiteboard system.
* Ensure quality management of the Monday Dashboard (project management system) has been updated by the Project Co-ordinators, and monitoring progress of projects, working with other stakeholders to resolve any issues that arise in a timely manner and escalating to management if required.
* Ensure all job packs have been archived by the Project Co-ordinators on the specified Company Drive for all completed projects, so they can be accessed for repeat applications as needed. Including periodic checks to ensure historic records are complete.
* Review Customer feedback surveys and take appropriate actions to resolve, for all internal assure reports relating to project planning and coordination as soon as possible.
* Drive continuous improvement in the Project Co-ordination and Planning processes and performance.
* Attend internal lessons learned meetings to provide input from the Coordination perspective and gain relevant feedback, allowing continual improvement as a business.
QUALIFICATIONS & EXPERIENCE:
* GCSE in English, Maths and ICT (or equivalent qualification).
* Qualification in Business Administration would be preferable but is not essential.
* Demonstratable experience of supervising others or leading a team, with an understanding of the aspects of people management (training, absence cover, annual leave management).
* Ability to balance business needs with employee requests, i.e. ensuring there is suitable cover for absences.
* Previous experience in Project Co-ordination / administration or a similar role.
* Excellent organisation and time management skills, with the ability to manage changing priorities.
* Strong analytical and problem-solving skills.
* Ability to work to tight deadlines.
* Demonstrate a high level of communication skills with the ability to provide detailed information and advice in a clear and positive manner.
* Comfortable working in a fast-paced, high-pressured environment with the ability to balance multiple projects, whilst also working with several internal departments ensuring efficiency and strong output is achieved.
* Able to complete compliant accurate records, with a right first time, every time approach.
* Ability to act proactively / be forward thinking whilst maintaining a methodical, attention to detail approach
* Flexibility to support the business to get the job done understanding the requirements of all stakeholders while maintaining a safe environment for all.
