As the first point of contact for the business, you will provide friendly, efficient, and effective reception, telephone and administration support. As the Receptionist Administrator, you will work closely with the Business Support Team and liaise with key stakeholders, including the Managing Director, Clients and Suppliers. You will be responsible for meeting, greeting and managing the sign-in process for visitors, answering and directing telephone enquiries, processing post, managing emails and ensuring accurate record-keeping.
This Receptionist Administrator role is perfect for someone who thrives in a dynamic office environment and takes pride in delivering outstanding administrative support.
Key Responsibilities:
1. Answering, screening, and forwarding telephone enquiries politely and efficiently.
2. Processing all incoming and outgoing post and deliveries.
3. Monitoring and managing incoming emails.
4. Ensuring accurate client information recording in the CRM system.
5. Ordering office supplies and materials to support projects.
6. Assisting with typing and sending sales invoices.
7. Supporting the Managing Director with administrative tasks.
8. Assisting the Health & Safety function with administrative needs.
9. Handling confidential information with discretion.
Person Specification:
1. Good basic education, including English and Maths at level 5 or equivalent.
2. Experience in administration within a busy office environment.
3. Proficiency in Microsoft Word, Excel, and PowerPoint.
4. Excellent communication skills (telephone, email, letters).
5. Ability to work in an organised manner and meet strict deadlines.
6. Proactive, flexible, and a team player.
7. Self-sufficient, confident, and detail-oriented.
8. Discreet and able to handle confidential information responsibly.
