On our client’s behalf we are looking for a friendly and organized Receptionist / Administrator to join their team. In this dual role, you will be the first point of contact for clients and visitors, providing excellent customer service while supporting the administrative functions of the firm.
Key Responsibilities:
1. Greet clients and visitors warmly and manage the reception area.
2. Answer and direct phone calls promptly and professionally.
3. Schedule appointments and manage the firm’s calendar.
4. Maintain client records and manage correspondence, including emails and postal mail.
5. Assist in the preparation of documents and legal paperwork as required.
6. Support legal staff with administrative tasks, including filing, photocopying, and scanning documents.
7. Handle client inquiries and provide information about the firm’s services.
8. Maintain an organised filing system and ensure confidentiality of sensitive information.
9. Assist with office management tasks, including ordering supplies and maintaining office equipment.
10. Contribute to a positive team environment by collaborating with colleagues.
Qualifications:
1. Previous experience as a receptionist or in an administrative role.
2. Strong communication and interpersonal skills.
3. Excellent organisational and multitasking abilities.
4. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
5. Ability to maintain confidentiality and handle sensitive information.
6. A professional demeanor and a strong commitment to client service.
7. High attention to detail and a proactive approach to tasks.
