Role Purpose:
We are looking for a Lead Contract Coordinator to support the UK FM Delivery Manager in looking after a national portfolio of properties for a multinational energy company, taking accountability for the day to day management of the Facilities Helpdesk, ensuring customer focused service delivery and contractual compliance.
Role Summary:
Working closely with the UK FM Delivery Manager, client stakeholders and the wider FM team to ensure asset compliance and operational performance. Identify opportunities to maximise savings and improve performance through effective scheduling and management of site engineers, mobile engineering teams and sub contractors. Ensure works are completed within SLA's and quotations for additional works are managed and processed within agreed timescales.
Main Duties and Responsibilities:
1. Assist the UK FM Delivery Manager in providing services to the Uniper contract, taking responsibility for performance of the facilities helpdesk and Human Resource Management of the facilities coordinators.
2. Ensure that the SLA's are met for all reactive and planned works and that KPI's are being achieved on a monthly basis.
3. Support development of site-specific policies and operational procedures which fit within the company value framework and match the requirements of the client.
4. Ensure contractors comply with relevant client Health and Safety Standards, RAMS are submitted and vetted and contractor monitoring forms are filled out for every contractor attendance to site.
5. Liaise with client representatives and stakeholders, ensuring positive constructive relationships based on a long term partnership.
6. Manage and develop staff ensuring a positive employment culture, effective training strategies and high retention levels.
7. Assist the UK FM Delivery Manager with monitoring performance and providing formal monthly reports to the client, confirming compliance with the requirements of the contract and identifying issues for discussion, future workload, risks and opportunities.
8. Assist the UK FM Delivery Manager with effective risk management, establishing controls, procedures, health and safety systems, audits etc which ensure that services are compliant with legislation and that contingency plans are in place.
9. Ensure that all legislative requirements are met across all facilities.
10. Act as Deputy Responsible Person for Legionella on the contract and an Incident Controller in the event of a fire evacuation.
11. Work flexibly within the wider IFM team undertaking any other duties which contribute to growth and profitability.
Essential Skills, Experience and Qualifications:
1. Can demonstrate ability to manage a diverse workload with competing demands.
2. High level of communication skills.
3. Some experience managing a team.
4. High level of administration and organisational skills.
5. Computer literate in Word, Excel, Outlook.
6. Experience of Corrigo CAFM systems would be an advantage.
