How you will make a difference
* Welcome and Assist: Be the first point of contact for visitors, customers, and contractors, providing a professional and friendly experience.
* Manage Facilities & Vendor Services: Coordinate building maintenance, equipment servicing, and cleaning contractors to maintain a productive workspace.
* Support Office Operations: Handle general administrative duties including answering calls, booking travel, purchasing supplies, and maintaining organized records.
* Oversee Business Administration: Prepare payroll timesheets, manage vehicle leasing, coordinate contracts, and schedule training sessions, ensuring smooth business operations.
* Financial Assistance: Send customer invoices, manage credit control, approve supplier payments, and check expenses to support financial accuracy and timeliness.
* Sales & Service Support: Enter and process sales orders, release dispatches, and coordinate closely with Safety Engineers and the Service Manager for seamless customer support.
What you should be good at
* Excellent Communication Skills: Clear, effective communicator who can interact professionally with visitors, team members, and external contacts.
* Proficiency in MS Office Suite: Skilled in Outlook, Word, PowerPoint, and Excel for efficient task management and reporting.
* Numerate and Literate: Strong literacy and numeracy skills to manage documents, invoices, and contracts accurately.
* Detail-Oriented and Organized: Demonstrated ability to manage multiple responsibilities efficiently and prioritize tasks effectively.
* Customer Service Mindset: Approachable, courteous, and focused on delivering exceptional customer service.
