An exciting opportunity has arisen for an enthusiastic, motivated, and methodological individual to join the Procurement department as an IMS & S4S Implementation Lead. The post holders’ primary responsibility will be supporting and implementing the Trusts 2-year IMS roll out programme across it’s multi-site geography within Northumbria and will work closely with the eProcurement & Project Team Manager to ensure key milestones are met and project delivery is on track.

The IMS and S4S Implementation Lead will have enhanced responsibility for the implementation and maintenance of an Inventory Management System across multiple disciplines and sites, focusing primarily on the IMS and Point of Care (PoC) roll-out of Theatres. They will work closely with the eProcurement & Project Team Manager providing regular updates on progress against key IMS activities and raising project risks or issues, proposing mitigating actions where necessary.
The IMS and S4S Implementation Lead will be responsible for managing and monitoring the workload and performance of 3 x Inventory Implementation Officers to ensure that key IMS related activities are on track and escalating risks to the eProcurement & Project Team Manager where required.
End user experience and customer service is at the forefront of the role and the IMS and S4S Implementation Lead will be required to develop and maintain relationships with key stakeholders across the Trust which include, but are not limited to; Clinical Staff, IT, Information Services, Finance, Inventory Management, Procurement.
· As a super-user of the system the IMS and S4S Implementation Lead is expected to become an ‘expert’ of the IMS offering advice to business as usual (BAU) staff and helping troubleshoot issues identified pre, during and post Go Live. ‘End User training’ will also form a key part of the role ensuring a smooth transition from current working practices to IMS related requirements.

· The IMS & S4S Implementation lead will play a critical role in supporting the implementation of the Scan4Safety initiative at Northumbria Healthcare Trust (NHCT) including implementation of a new Inventory Management System. S4S is a pioneering initiative which supports the delivery of better patient care, improves productivity, and will enable supply chain efficiency within the Trust.
· As part of S4S, NHCT has been selected by NHS Supply Chain to implement a local Inventory Management System as part of a national pilot to accelerate proposed S4S timelines and benefits.
· Due to the cross-functional nature of the project, the post holder will need to establish good working relationships with key stakeholder from across the Trust including Inventory management, clinical, IT, information services and finance.
· The role holder will have line management responsibilities for three Inventory Implementation Officers and will undertake all Trust HR responsibilities for these three roles.
· The role holder will provide oversight of these three resources and will be responsible for driving IMS & S4S related activity, understanding the wider implications and benefits the project delivers from a patient, staff and financial perspective.
· The role holder will primarily support the implementation of the new Trust IMS system across General Theatre implants and consumables, as well as supporting the implementation of wider S4S activities to enable IMS go-live, patient wristbands etc.
· Following IMS go-live and in the longer term, the role holder will support the roll-out and implementation of the IMS solution and S4S across the whole organisation beyond General Theatres.
· The role holder will report into eProcurement & Project Team Manager, providing regular updates on progress against key IMS activities and raising project risks or issues, proposing mitigating actions where necessary.
· The role holder will become a Trust subject matter expert and ‘super-user’ of the new IMS system, responsible for managing and correcting any issues with the IMS system in the first instance, escalating issues as required.
· Due to the in-hospital nature of the IMS deployment, the role holder will be required to be on-site with flexibility to travel across all four major hospital sites (North Tyneside, Wansbeck, NSECH, Hexham)
· The IMS & S4S Implementation Lead will report to the eProcurement & Project Team Manager and will manage a team of three Inventory Implementation Officers.
The IMS & S4S Implementation Lead will:
- Ensure day-to-day implementation of IMS & S4S deliverables are on track.
- Work collaboratively across the team to deliver project tasks and support the Inventory Implementation Officers.
- Support with preparation and facilitation of daily, weekly, and monthly project meetings.
- Work collaboratively with delivery partners and suppliers.
- Undertake HR responsibilities for 3x Inventory Implementation Officers including managerial oversight, appraisals, professional development, holiday / leave approval.
Supporting eProcurement & Project Team Manager to ensure overall programme progress is on track, highlighting and mitigating areas at risk
