About the opportunity:
The Office/HR Coordinator will play a vital role in ensuring the efficient operation of office activities while also providing administrative support to the People team. This position requires a versatile, organised and proactive individual with strong communication and multitasking skills. In this role you’ll be exposed to multiple areas of office management and HR, allowing you to broaden your skill set. As the company grows, there will be the potential for progression and further opportunities in HR and operations, making this the perfect role for someone looking

This is an office based role, working out of our London office Monday to Friday.
Key responsibilities
Office Coordination
● Be the welcoming face and first point of contact for all visitors and office-related inquiries
● Manage meeting rooms, including preparing meeting rooms and arranging catering services as required
● Manage office orders and supplies, including food,water, amenities and stationery within an agreed budget
● Manage and track maintenance for office water coolers and coffee machines
● Coordinate repairs, maintenance, and ensure everything in the office runs smoothly
● Maintain a clean, organised, and inspiring workspace for the team
● Manage office correspondence, including incoming/outgoing mail
● Liaise with 3rd party suppliers like cleaning contractors, building management and maintenance teams to ensure the office is always at its best
● Manage the access fob registration process for new employees, including issuing, tracking and deactivating fobs as needed
Health and Safety:
● Lead and manage all aspects of health and safety compliance, ensuring a safe and compliant workplace for all employees.
● Be the point of contact for health and safety concerns, escalating these as appropriate.
● Keeping on top of essential training requirements for staff and booking in training as appropriate (e.g., Fire Marshals / First Aid training)
HR Assistance:
● Prepare necessary HR paperwork and documentation including new employee contracts, contractual changes, annual salary increase and bonus letters and other documentation as required
● Update PeopleHR with all employee activities (joiners, leavers, transfers etc)
● Ensure probation reviews are completed by managers and appropriate documentation is prepared
● Support new hire onboarding by setting-up laptops, conducting office tours, providing supplies, and security fobs for access.
● Manage the cultural aspects of the company, including social events, meetings, and team-building activities.
● Create and update organisational charts
● Handle ad-hoc projects or tasks as required.
What you’ll bring
● Previous experience in reception, office management, administration or a similar role
● An interest in developing HR knowledge, skills and experience
● Strong organisational and multitasking skills
● Excellent communication and interpersonal abilities
● Ability to be discrete and ensure confidentiality
● Strong attention to detail
● Initiative to work independently as well as being a team player
