We are currently seeking an experienced Site & Production Manager to join our Cardiff office and help oversee both the planning and execution of events across South Wales and occasionally elsewhere in the UK.
Job Description
The Site and Production Manager will be based in our Cardiff office but will travel regularly to various event sites, primarily in South Wales, with occasional trips to other locations across the UK. This role is responsible for taking on and managing your own events while also assisting with other events as required. You will oversee the entire production process, from initial planning through to on-site execution. Key responsibilities include managing budgets, booking and liaising with suppliers, coordinating with stakeholders, ensuring all event safety measures are in place, and being responsible for all aspects of event delivery, including managing customer service staff, Front of House teams, site crew, and contractors. Proficiency in AutoCAD is essential for creating scaled site plans. The successful candidate must also have strong administrative skills and be proficient in the use of computers and Microsoft Office packages. They be comfortable with basic Health and Safety practices on events and ideally be competent in writing and reviewing Health and Safety documents. We are looking for someone calm, level-headed, and able to fit seamlessly into our friendly team. Flexibility is required, as the role involves long hours and weekend work, particularly during peak event periods. Fluency in the Welsh language is desirable but not essential for this role.
Key Responsibilities:
1. Event Planning & Client Liaison;
- Work closely with clients to understand their event goals and ensure their vision is accurately reflected in the planning and execution.
- Develop detailed event plans, including timelines, budgets, site layouts, production schedules, and technical requirements for a variety of events.
- Provide regular updates to clients, incorporating feedback and managing expectations throughout the planning process.
2. Project Management ;
- Take full ownership of assigned events, managing every aspect from planning through to delivery, ensuring a seamless experience for clients and attendees.
- Assist with other events as needed, providing support and expertise to ensure all events are delivered to the highest standards.
3. Event Delivery Management ;
- Be responsible for all aspects of event delivery, including managing site crew, and contractors to ensure smooth operations during events.
- Ensure all event operational staff are well-trained, informed, and equipped to provide excellent service to attendees.
4. Budget & Supplier Management ;
- Manage event budgets effectively, ensuring all elements are delivered within financial constraints without compromising quality.
- Book and liaise with suppliers, coordinating services such as event infrastructure, catering, security, and technical production.
- Ensure timely delivery of all third-party services, meeting specifications and budget requirements.
5. Stakeholder Coordination :
- Act as the main point of contact for all stakeholders, including clients, internal teams, suppliers, contractors, landowners and local authorities.
- Facilitate smooth communication and collaboration among all parties to ensure the successful delivery of each event.
6. Production & Site Management :
- Travel to event sites across South Wales and occasionally elsewhere in the UK to Site Manage and oversee the setup and breakdown of infrastructure.
- Use AutoCAD to create scaled site plans that meet the specific needs of each event.
- Produce accurate Production & Site Schedules
- Ensure all site infrastructure is installed on schedule and as required
- Manage on-site teams and address any challenges swiftly to ensure smooth event operations.
7. Event Safety Management ;
- Prepare and review comprehensive Event Safety Management Plans, Risk Assessments, and other safety documentation in line with legal requirements and industry standards.
- Ensure compliance with health and safety regulations, including crowd control measures and emergency procedures.
- Conduct site-specific risk assessments and ensure all safety protocols are implemented and adhered to throughout the event lifecycle.
8. Team Leadership :
- Lead and manage on-site teams, including production crews, contractors, and customer service staff, ensuring effective communication and task delegation.
- Coordinate the efforts of all staff involved in the event to ensure smooth and efficient delivery.
9. Post-Event Reporting ;
- Conduct post-event evaluations with clients and internal teams, gathering feedback and assessing event performance.
- Provide insights and recommendations for improving future events based on performance analysis.
Key Requirements :
- A minimum of 2 years of experience in outdoor event project management.
- Strong project management skills, with experience in overseeing multiple events simultaneously.
- Strong administrative skills and be proficient in the use of computers and Microsoft office systems
- Excellent budgeting skills and experience managing complex event budgets.
- Experience booking and managing relationships with suppliers and vendors.
- Solid understanding of event safety regulations, with experience preparing and reviewing Event Safety Management Plans, Risk Assessments, and other safety documentation.
- Exceptional communication and client relationship management skills, with the ability to translate client visions into successful event delivery.
- Strong leadership skills, with the ability to manage teams and resolve issues in high-pressure environments.
- Excellent organisational and time management skills, with the ability to handle multiple projects simultaneously.
- Strong problem-solving skills, with the ability to think quickly and effectively under pressure.
- Calm and level-headed approach, with a strong alignment to our "can do" reputation and a desire to work collaboratively within our friendly team.
- Willingness to work long hours, weekends, and travel across South Wales and occasionally to other locations in the UK, especially during peak event seasons.
- A full UK driving licence is essential.
Desirable Skills:
- Fluency in Welsh is desirable for effective communication with clients and stakeholders
- Proficiency in AutoCAD for creating scaled site plans is desirable
- Trailer towing experience is desirable.
- Health & safety qualifications (e.g., IOSH, NEBOSH) are advantageous.
