This position is responsible for overseeing and managing all business-related activities within the programs to ensure the successful achievement of goals, objectives and outcomes outlined in guidelines and contact agreements. The role is responsible for the administration, implementation, financial and technical related duties for the programs, ensuring compliance with funding requirements and fee-for-service expectations. Working collaboratively as part of the team, the Business Administrator plays a key role in contributing to quality service delivery and achievement of program goals while maintaining an effective working relationship with the community and in accordance with the Mission and Policies of YWCA Toronto.
ABOUT YWCA TORONTO – SDC, ETI & MOTS
Skills Development Centre provides vocational and non-vocational strength-based programs, and offers a wide range of products and services both locally and nationally to individuals and organizations. Products and services can be purchased and/or are free (fully sponsored or subsidized). YWCA Toronto’s Education and Training Institute is a vocational college registered with the Ministry of Training, Colleges and Universities offering two certified programs: Professional Office Administration Certificate and Professional Office Administration Diploma. Moving On To Success is an employment training program for low income women and gender diverse people, some of whom may experience domestic violence or who are at risk of abuse.
KEY RESPONSIBILITIES
* Assists the Manager with proposals and funders financial reports and forms
* Assists with budget preparation and monitors budgets in consultation with the Manager
* Prepares financial statements for YWCA quarterly reviews, year-end reports and program proposals in consultation with the Manager
* Maintains and prepares all bookkeeping records to the satisfaction of the Manager, Director of Employment and Training and Director of Finance
* Coordinates all administrative activities and requirements for the programs
* Responsible for updating and maintaining partnership agreements
* Trains the Front Desk/Client Service staff and ensures the smooth running of the front desk
* Handles customer inquiries efficiently, offering accurate information about products, pricing and services
* Assists customers with purchases, including processing payments, reimbursements and returns
* Assists in the efficient operation of the computer systems in conjunction with the Manager of Information Technology
* Provides computer trouble-shooting, assists in ensuring the security of the system and performs on-going or preventative maintenance where needed especially as it relates to illegal software and websites accessed or downloaded by clients
* Coordinates all the databases for SDC, MOTS and ETI and troubleshoots where needed
QUALIFICATIONS
* In-depth knowledge of commerce, business administration, accounting or office management normally acquired through an undergraduate degree
* Demonstrated knowledge and experience in general accounting is required
* 3-5 years directly related work experience
* Advanced computer skills and knowledge of computer systems, hardware and various software packages; including Windows, Excel, Internet, Learning Management Systems (LMS) and database applications
* Knowledge of youth, women’s service, settlement, adaptation and employment programs required
* Demonstrated ability to work under pressure and work independently
* Experience in generating reports is essential
* Excellent hardware and software troubleshooting skills
* Working knowledge of accounting software
* Detail oriented with excellent organizational skills
* Excellent customer service, verbal and written communication skills required
* Strong interpersonal skills
* Strong and creative problem-solving skills
