Job Title – Receptionist
Role Description
An exciting opportunity has arisen due to expansion at our Salisbury office for another Receptionist to join the team. You would be expected to undertake a number of general office administration and reception duties. You would work closely with the reception team to help maintain a smooth and efficient office. You will need to be proactive in your work habits and show high interest and engagement in all tasks delegated to you.
The role will normally perform the following tasks:
General office administration
•Opening and sorting incoming mail
•Collecting the office mail trays from the Fee Earners and taking to reception for posting
•Carrying out deliveries during the day to other solicitors, companies, court etc as required
•Photocopying and scanning as directed
•Filing of various documents in office records systems
•Daily banking for the Accounts department
•Collating files from each department for archiving
•Logging in and booking out Deeds & Wills
•Dealing with Client ID
•Certifying documents
•Collecting DX
•Taking the post to the post office daily
•Any other office administration duties as requested from time to time
Supplies
•Checking, stocktaking and ordering stationery weekly
•Checking and stocktaking kitchen/toilet supplies including milk, tea, coffee, toilet roll etc
•Topping up photocopiers round the office with paper throughout the day
•Ordering toners and cartridges for photocopiers as and when needed
Reception cover
•Answering the phone and forwarding all messages on via email
•Checking for voicemails
•Greeting clients and advising staff of their arrival
•Deal with any ad hoc Client enquiries when they come into Reception
•Managing the diary for the meeting rooms
•Arranging tea and coffee for meetings
•Checking meeting rooms are tidy after use
•Taking card payments in person
Key Person Specifications
•Basic keyboard skills, knowledge of Microsoft software including Word/Excel.
•Ability to manage time effectively and to prioritise workloads effectively
•Have excellent telephone skills and the ability to respond positively and effectively to staff and be competent in taking and forwarding messages accurately and promptly
