Responsibilities
* Calendar & Meeting Management: Organise the Partner’s calendar, schedule meetings, prepare agendas, and take minutes, ensuring efficient time and resource management.
* Information Management: Oversee inboxes, manage and file documents, maintain confidentiality in correspondence.
* Financial Support (Dance Company): Prepare and monitor budgets, prepare and issue invoices in accordance with production contracts, match and record incoming invoices and prepare payments for authorisation, manage expenses.
* Financial Support (Law Firm): Process and draft invoices and provide occasional back-up to the firm’s legal cashier to prepare payments for approval and release and maintain client ledgers.
* Communication Liaison: Act as the first point of contact for internal and external parties, handling correspondence professionally, assist with implementation of management policies.
* Administrative Support: Coordinate travel itineraries, process visa applications, and support special projects.
* Business Development: Assist with event planning and LinkedIn profile updates.
Skills
The successful candidate will have a strong background as a PA or EA to a C-suite member, preferably in a law firm or professional services environment. You will possess a proven history of excellent organisational and communication skills, professionalism, initiative, discretion, and a positive can-do attitude. You will also need:
* A calm demeanour under pressure, with a pragmatic, proactive approach.
* Flexibility and adaptability, with the ability to work independently and as part of a team.
* Proficiency in managing busy schedules and multiple inboxes.
* Strong organisational and time management skills, with the ability to prioritise effectively.
* Exemplary attention to detail with high accuracy in numeracy and literacy.
* A demonstrated commitment to maintaining confidentiality.
* Effective communication skills, building positive relationships with stakeholders.
* Ability to produce formal reports and presentations to a high standard.
* Experience with board and committee governance meetings.
* Familiarity with legal terminology and strong legal knowledge (desirable).
* Advanced skills in Microsoft Office (Word, Excel, PowerPoint) and familiarity with legal software (e.g., LEAP) is ideal.
