Construction Administration | Long Itchington Our client are seeking a Construction Administrator to join their team based on-site in Long Itchington, supporting the HS2 project. You will Provide a service covering all areas of administration and support necessary for the successful operation of the project. This includes the management of all project documentation as detailed within our clients policy & procedures. Responsibilities Requisition materials & Plant using COINS with due regard for coding of materials and follow up orders until it has been delivered. Process Goods received notes (GRN’s) in a timely manner with due regard for correct allocation, order numbers and units of measurement. Prepare & issue Weekly Plant Reports split into the various sub-headings as required by the PM. Follow up Plant returns to ensure off hired correctly and reconcile the Plant report to reflect this. Reconciliation of Plant Hire Invoices, collate external plant invoices and summarise on spreadsheet, check against original Quotation / Order and issue to PM highlighting any discrepancies you have found. Maintain a record of missing, damaged & write-off Plant invoices and issue to PM for their action. Produce and issue weekly Labour Returns split into the various disciplines as required by the PM. Highlight any anomalies to the Project team. Maintain an up to date Labour gang spreadsheet in conjunction with Construction manager and issue weekly to PM. Process the weekly payroll and send to accounts in a timely manner. Produce a weekly Overtime Report for the project and issue to PM.12. Awareness of Environmental issues and upload the monthly stats to the Project database. Awareness of H&S issues and assist the project in the delivery of Site Inductions followed by the prompt processing of individuals paperwork. Liaise with PM and Site Management assisting them where possible as situations arise. Assist the Site team in dealing with payment queries or employment issues, seek guidance from HR and report back to PM. Key Skills A good understanding of the COINS infrastructure and functionality Logical and well organised with the ability to prioritise. Numerate, literate and the ability to work as part of a team. Good communication skills and IT competence levels with a detailed knowledge of QED, spreadsheets, databases & Document Control Systems. Positive response to pressure, ability to manage change and adapt to new procedures. Leadership skills/qualities and the ability to support & motivate.
